Responsibilities
- Answer the telephone and route calls to the appropriate party or department.
- Forward inquiries to the appropriate personnel.
- Greet clients and visitors, notifying appropriate individuals of their arrival.
- Assist the Office Manager in coordinating firm events, activities, and daily office operations.
- Maintain awareness of firm policies, moves, and changes to handle reception duties optimally.
- Monitor floor security and coordinate mail/package pickups and deliveries.
- Assist with large mailings and other non-priority projects.
- Cross-train with other receptionists.
- Coordinate and confirm orders for meetings.
- Maintain office logs for summons, checks, and packages received.
- Submit work orders to building management for office needs.
- Place orders for Cake Day and Bagel Day in collaboration with the Porter.
- Ensure the reception area and lobby are always neat and presentable.
- Communicate and calendar staff call-outs; request out-of-office notices once coverage is confirmed.
- Manage building and city communications regarding gym access, parking, and building fob access for new hires and departures.
- Assist with CARE calls and direct inquiries as outlined in the SOP.
- Provide building access and validate parking for visitors and client meetings.
- Open, scan, and distribute or email daily incoming mail.
- Assist with processing vendor invoices.
- Provide coverage for Office Assistant duties as needed.
- Perform miscellaneous duties as assigned by the Office Manager.
Requirements
- High school diploma preferred.
- One to three years of experience in a receptionist or other public relations position.

- Excellent communication skills, both written and oral.
- Meticulous attention to detail and ability to thrive in a fast-paced environment.
- Professional appearance and demeanor.
