Qualifications
- Demonstrated experience in administrative, project coordination, or office management within an architecture, engineering, or construction environment.
- Associate degree or equivalent professional experience, with coursework or a degree in Business Administration or a related field preferred.
- Minimum of 3 years of recent administrative, project coordination, or office management experience, preferably within an architecture, engineering, or construction environment.
- Strong knowledge of office procedures and standard office equipment.
- Proficiency in Microsoft Office Suite, including Word, Excel, PowerPoint, and Outlook.
- Excellent written and verbal communication skills with the ability to represent the firm professionally.
- Strong organizational, problem-solving, and interpersonal skills.
- Ability to manage multiple priorities and deadlines simultaneously.
- Self-motivated, detail-oriented, and adaptable in a collaborative environment.
- Familiarity with architectural or construction terminology and document management is a plus.
Key Responsibilities
- Provide project and administrative support to architectural teams, including document preparation, data entry, filing, and coordination of project-related materials.
- Affiliate with management of submittals, RFIs, ASIs, contract documents, change orders, amendments, and related documentation.
- Maintain and organize digital and physical project files.
- Schedule meetings, prepare agendas, record meeting minutes, and distribute project communications as needed.
- Serve as the primary front desk contact by answering and directing phone calls, greeting visitors, and ensuring a welcoming office environment.
- Cook conference room schedules and prepare meeting spaces for clients and internal teams.
- Manage office hospitality, including organization of the client coffee bar and shared spaces.
- Affiliate with travel coordination and other administrative tasks as needed.
- Build and maintain positive relationships with clients, consultants, vendors, and team members.
- Uphold the values of Pivot North Architecture through collaboration, integrity, professionalism, and quality work.

- Based in our downtown Boise, Idaho office.
