Job Duties & Responsibilities

  • Greet visitors, customers, and vendors in a professional and courteous manner.
  • Answer, screen, and direct incoming phone calls using the office telephone and voicemail systems.
  • Routinely messages and inquiries to the appropriate departments promptly and accurately.
  • Receive, stamp, sort, scan, log, and distribute incoming mail, packages, and correspondence to the appropriate departments or adjusters.
  • Prepare and process all outgoing mail, including regular, certified, overnight, and return receipt mail by accurately weighing, addressing, sorting, coding, and applying postage.
  • Maintain accurate records of certified mail, renewal notices, outgoing correspondence, and postage balances.
  • Pick up and deliver mail to and from the post office as needed.
  • Mail company checks and other correspondence to the appropriate recipients.
  • Scan, organize, and maintain electronic and physical filing systems to support the company's document retention and paperless initiatives.
  • Perform clerical duties including filing, copying, typing, data entry, proofreading, and maintaining departmental logs and records.
  • Maintain inventory of office supplies and ensure reception, common areas, and the mailroom remain clean, organized, and fully stocked.
  • Keep the storage room organized and maintain an orderly work environment.
  • Run office errands as assigned.
  • Handle confidential customer, employee, and company information with discretion.
  • Provide administrative support to various departments and assist with special projects as assigned.

Qualifications

  • A high school diploma or equivalent is required.
  • A valid Texas driver's license with a clean driving record is required.
  • Proof of current automobile insurance is required.
  • Bilingual (English/Spanish) is preferred.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and general computer applications is required.
  • Excellent customer service and interpersonal skills are required.
  • Strong verbal and written communication skills are required.
  • A strong attention to detail and organizational skills are required.
  • The ability to prioritize tasks and manage multiple responsibilities in a fast-paced environment is required.
  • A self-motivated individual with strong analytical and problem-solving abilities is required.
  • The ability to work independently with minimal supervision is required.
  • The ability to maintain confidentiality and exercise sound judgment is required.
  • The individual must be dependable, professional, and highly organized.
