Responsibilities
- Greets and welcomes patients and visitors with a warm smile and efficient check-in process.
- Delivers high-level customer service by managing appointments, optimizing provider time, and enhancing treatment room utilization.
- Maintains on-time patient flow by promptly notifying clinicians of patient arrivals and managing service delivery.
- Processes incoming faxes accurately and ensures timely communication and documentation.
- Accurately enters patient information, treatment plans, and updates into the Electronic Medical Record (EMR) system.
- Generates and maintains reports, logs, and lists, including financial reconciliations and patient retention tracking.
- Takes and verifies patient information for new and returning cases in Theraoffice, including obtaining and updating prescriptions and Plans of Care.
- Aids patients during therapy sessions by applying heat packs, assisting with equipment, and guiding through prescribed routines.
- Provides education on proper equipment use and exercise techniques to ensure patient safety and effectiveness.
- Ensures patient confidentiality and maintains a safe, clean, and organized treatment environment.
- Performs light cleaning duties, including laundry, treatment table turnover, and garbage disposal.
- Prepares treatment rooms by sterilizing and delivering equipment, positioning equipment for therapist access, and assisting patients on equipment.
- Answers calls from physicians, hospitals, and patients with excellent customer service skills.
- Maintains physical therapy supplies inventory by monitoring stock levels, placing orders, and verifying receipt of supplies.
- Assists with other duties as needed to support clinic operations and patient care.
Qualifications
- High school diploma or GED.
- One year of medical office experience preferred, with familiarity in EMR systems a plus.
- One year of experience in a customer service-oriented role strongly preferred.
- Proficiency in Google Suite.
- Strong communication skills and the ability to interact professionally with customers, co-workers, and management.
- Excellent interpersonal skills and the ability to quickly adapt to new programs.
- Ability to observe, evaluate, and record patients' conditions, reactions, and changes in physical condition.
- Strong record-keeping and report-writing skills.
- Ability to use logic and problem-solving skills to resolve issues.
- Ability to work independently under tight deadlines in a rapidly changing environment.
- Excellent time management and organizational skills.
