This Long-term Contract position is ideal for someone who enjoys balancing visitor interaction, front desk coverage, and administrative coordination in a detail-oriented environment.
Responsibilities
- Welcome guests, employees, and vendors in a courteous manner and direct them to the appropriate contacts or meeting spaces.
- Manage front desk communications by answering and routing incoming calls through a multi-line phone system with accuracy and courtesy.
- Handle day-to-day office support activities such as distributing mail, coordinating outgoing shipments, and maintaining workplace supply inventory.
- Arrange meeting details, including room coordination and food orders, to help ensure smooth internal gatherings and scheduled visits.
- Monitor invoices, maintain accurate records, and assist with reconciliation to support timely processing and reporting.
- Provide administrative assistance to the HR team through document support, coordination tasks, and general front office organization.
- Respond to routine inquiries from visitors and staff while helping maintain an orderly and efficient reception area.
Requirements
- Prior experience in a front desk, receptionist, concierge, or office coordination role.
- Ability to manage a multi-line phone or switchboard system while maintaining professionalism and attention to detail.
- Strong customer service and communication skills for interacting with visitors, employees, and internal teams.
- Experience handling administrative tasks such as mail processing, shipping coordination, supply ordering, and scheduling support.
- Comfortable tracking invoices and maintaining accurate administrative records.
- Familiarity with HR administrative support or shared services environments is preferred.
- Ability to stay organized, manage multiple priorities, and work effectively in a fast-paced office setting.
