We are seeking a professional and organized Front Desk Coordinator to join a growing manufacturing and fabrication company in Tulsa. Responsibilities
- Serve as the first point of contact for employees, visitors, vendors, applicants, and delivery drivers, creating a professional and welcoming environment.
- Answer and route incoming calls using a multi-line phone system while responding to general inquiries.
- Provide administrative support to office staff, management, and production teams to ensure efficient day-to-day operations.
- Aid with HR-related administrative tasks, including onboarding paperwork, new hire documentation, personnel file maintenance, employment verifications, and scheduling interviews.
- Support recruiting efforts by coordinating interviews, communicating with candidates, and assisting with applicant tracking.
- Prepare and maintain spreadsheets, reports, presentations, and other business documents.
- Absorb and maintain office and breakroom supplies while monitoring inventory levels.
- Aid in organizing and maintaining electronic and paper filing systems with accuracy and confidentiality.
- Keep the reception and front office areas clean, organized, and professional at all times.
- Provide additional administrative support and special projects as assigned.
Qualifications
- A high school diploma or GED is required; an associate degree is preferred.
- Minimum of 2 years of experience in a receptionist, front desk, administrative assistant, or office coordinator role.
- Previous HR administrative experience, including onboarding, personnel records, recruiting support, or other human resources functions, is strongly preferred.
- Manufacturing, industrial, fabrication, or construction office experience is highly preferred.
- Strong proficiency in Microsoft Office Suite, including Outlook, Excel, and Word.
- Experience with SharePoint or similar document management systems is a plus.
- Excellent verbal and written communication skills.
- Strong organizational skills with the ability to prioritize multiple tasks and meet deadlines.
- A high attention to detail and the ability to maintain confidentiality when handling sensitive employee information.
