About the role

Under the general supervision of the Strategic Programs Manager, the Fleet and Mobility Analyst is responsible for BruinCar Program coordination and administration, technical operating systems, customer service, and program support. The incumbent coordinates vehicle rentals and reservations (including commercial rental vehicles) and support services such as maintenance, fueling, cleaning, and vehicle selection to meet customer expectations. The role involves proactive customer outreach to fulfill mobility needs, vehicle procurement analysis, billing coordination, driver safety initiatives, financial reporting, and monitoring technical systems (Key Valet). The analyst ensures staffing and resources are sufficient to deliver quality and timely customer service.

Responsibilities

  • Provide updates and programmatic status reports on projects and high-profile or sensitive customer service issues.
  • Maintain, update, communicate, disseminate, and enforce program guidelines, policies, and procedures.
  • Review and analyze customer service satisfaction survey results; initiate quality improvement processes.
  • Resolve customer conflicts and respond to inquiries.
  • Write, implement, review, and update policies and procedures for the UCLA BruinCar/Motorpool Program.
  • Coordinate commercial rental vehicles as a supplement to the UCLA BruinCar Program.
  • Manage accident claims and vehicle repairs as needed.
  • Process monthly recharges and billing for all customers.
  • Conduct ongoing analyses of vehicle utilization, customer demand, and quality control.
  • Develop marketing materials to enhance program services and revenues.
  • Provide supervision and direction to BruinCar staff, including recruitment, training, and employee development.
  • Determine program effectiveness and make recommendations to achieve departmental goals and objectives.
  • Assist with budget preparation, management, reporting, and cost control.

Requirements

  • Demonstrated knowledge of vehicle rental operations and customer service practices to effectively manage a client-oriented, user-responsive program and lead a motivated team. (Required)
  • Strong verbal and written communication skills to explain policies, prepare clear correspondence, and engage with diverse stakeholders. (Required)
  • Interpersonal skills to establish and maintain professional and effective working relationships with co-workers, faculty, staff, students, administrators, vendors, and the public. (Required)
  • Proven ability to manage multiple priorities under pressure, meet deadlines, and maintain punctuality and attendance standards. (Required)
  • Proficiency in Microsoft Office Suite, rental platforms, and troubleshooting operating systems; accuracy with data entry and reporting. (Required)
  • Demonstrated analytical and independent judgment skills to assess program effectiveness and make adjustments as needed. (Required)
  • Ability to negotiate mutually agreeable solutions to conflicts between individuals or organizational units. (Required)
  • Ability to work independently with minimal direction, make independent judgments and decisions, and discern when action of a higher level is required. (Required)
  • Ability to assess knowledge, skills, and abilities of personnel to adjust work assignments for high organizational productivity and goal achievement. (Required)
  • Ability to interact with persons of diverse social, cultural, economic, and educational backgrounds to obtain and convey information, address/resolve complaints. (Required)
  • Working knowledge of UC policies and procedures, particularly in accounting, inventory control, audit requirements, purchasing, and personnel management. (Preferred)

Qualifications

  • Associate’s degree in a relevant field. (Preferred)
  • Valid California noncommercial Class C Driver License (required upon hire and maintained throughout employment). (Required)

Special Conditions

  • Continued employment contingent upon completion of a satisfactory background investigation.
  • Must be 18 years or older to be eligible for hire.
  • Position subject to the California DMV "Pull Notice System"; continued employment contingent upon proof of a satisfactory driving record.
