Fleet and Compliance Asset Administrator
About the role
The Fleet & Compliance Asset Administrator assists drivers and internal sites with inquiries, providing an excellent customer experience while administering the end-to-end lifecycle of the division’s light-duty, heavy-duty, on-road, and off-road vehicles. This role serves as a central resource for fleet operations, asset tracking, and California environmental/emission compliance. This role requires 25% travel, including some overnight stays.
Responsibilities
- Facilitate and resolve calls/emails from drivers and regional sites related to company-owned vehicle registrations, tolls, tickets, insurance, and vehicle recalls.
- Maintain database maintenance (assignments, vehicle locations, etc.) across multiple systems (e.g., Oracle, WEX, Wheels, VMS).
- Audit company-owned vehicle assignments and manage division vehicle custodians.
- Provide vehicle projections to the Fleet Manager for the consolidated order process.
- Manage new vehicle receipts, deliveries, tags, titles, fuel cards, and insurance cards.
- Follow standard disposition policies for transitioning idle assets, facilitating employee sales, and distributing titles.
- Aid in annual budgeting guidance for vehicle replacements and verify asset accuracy by tax jurisdiction.
- Maintain full compliance with the Clean Truck Check California Program. Create vehicle accounts and process annual compliance fees for approximately 900 vehicles.
- Administer TRUCRS and DOORS programs, track new regional fleet regulations, coordinate emissions inspections, and maintain rigorous record-keeping for emissions control systems.
- Confirm and update mileage for Low-Use Vehicles using internal tracking systems to determine regulatory reporting eligibility.
- Oversee proactively processed renewals, coordinate driver inspection requirements, process title transfers, and manage specialty registration requests (e.g., IRP).
- Ensure data meets all regulatory requirements for IFTA (International Fuel Tax Agreement) and HHUT (Form 2290) filings. Support accurate property tax bill processing and distribute annual insurance cards while managing data requests for underwriter negotiations.
- Issue fuel cards, manage driver fuel card agreements, and execute account updates (cost code changes, over-limit extensions).
- Terminate cards due to loss, fraud, or driver termination. Manage control reporting and research fraudulent activity.
Requirements
- High School diploma or equivalent required (Associate or Bachelor’s degree in business administration, logistics, or a related field preferred).
- 1+ years of experience managing a vehicle fleet, fleet reporting, DOT/DMV record keeping, or a comprehensive understanding of transportation logistics.
- Familiarity with vehicles, including an understanding of different truck classes and the application of specialty equipment.
- Proficiency in Microsoft Word, Excel (with a focus on analytics), and PowerPoint.
- Experience with the Google platform (Meets, Gmail, Drive) and fleet databases is helpful.
- Ability to handle multiple processes simultaneously, manage large data sets across multiple databases, and maintain a moderate level of accounting/budget reconciliation skills.
- High attention to detail and deadline-oriented.
- Outstanding oral and written communication skills. Ability to interact effectively with people at all levels of the organization and communicate professionally via phone or email with external agents and stakeholders throughout California.
- Self-starter capable of working with minimal supervision. Demonstrates critical thinking, flexibility, unyielding integrity, and a high level of discretion when handling confidential information.
Qualifications
- Education: High School diploma or equivalent required. Associate or Bachelor’s degree in business administration, logistics, or a related field preferred.

Pay
The base salary range for this role is between $120,000 - $135,000 annual salary. This range is not inclusive of our discretionary bonus or equity package. When determining a candidate’s compensation, we consider a number of factors, including skillset, experience, job scope, and current market data.
