Essential Job Functions/Job Duties And Responsibilities
- Manage inventory effectively and collaborate with faculty and vendor representatives.
- Order all books and supplies through the purchasing system.
- Maintain accurate stock levels, conduct regular inventory audits, and facilitate orders.
- Assist students and staff with inquiries, provide guidance on book selections, and ensure a positive shopping experience.
- Assist students with bookstore sales.
- Work with Follett Bookstore for processing and managing off-campus bookstore sales.
- Analyze procurement documents for accessibility compliance requirements related to digital content purchases.
- Cook up vendor compliance documentation such as VPAT, Conformance and Remediation Form, WCAG Checklist, etc.
- Maintain the bookstore inventory report and submit yearly the bookstore inventory to Tennessee Board of Regents.
- Manage and submit all the bookstore sales tax documentations for payment.
- Aid Student Services with orientation to provide information to students regarding bookstore sales.
- Maintain book cost sales report.
- Occasionally travel to off-campus locations and/or events.
Receiving
- Receive all purchase orders in Jaggaer and submit any invoices needed for payment.
- Assist in all package deliveries.
- Maintain all information regarding utilities, storm water, and phone usage invoices and provide reports needed for reporting.
- Receive all capital projects, supplies, and equipment items and submit documents.
- Process several reports on procurement purchases to Tennessee Board of Regents.
- Process and manage all year-end closing and open encumbrance reports.
- Work closely with TBR to enter transactions in Jaggaer.
- Process all change order requests.
- Perform other duties as assigned.
Minimum Requirements
- Average of 2 years of receiving, purchasing, and/or office environment experience with an associate degree, or 4 years of receiving and/or office experience with a high school/GED equivalent.
- Demonstrated ability to consistently meet deadlines and submit accurate reports with close attention to details.
- Demonstrated experience of time management and organizational skills.
- Ability and willingness to work independently and as part of a team in a fast-paced office environment.
- Ability to organize and prioritize multiple projects at once with minimal direct supervision.
- Ability to read and interpret policies, regulations, and manuals.
- Ability to maintain record-keeping systems.
Preferred Qualifications
- Working knowledge of Banner and Jaggaer electronic purchasing system.
- Prior experience working in higher education.
- Experience using Microsoft Excel and Access.
- Ability to communicate clearly, accurately, and concisely, both verbally and in writing, with high attention to detail.
- Excellent customer service skills.
- Ability to learn and follow the Tennessee College of Applied Technology Nashville’s policies and procedures.
- Ability to learn department-specific software and databases, as well as the ability to accurately perform data entry and retrieval.
- Ability to train and mentor.
- Ability and willingness to work any assigned shift.
