About the role
Under the general direction of the Financial Operations Manager (FOM), provides professional support in the areas of financial/budget analysis, fiscal management, contracts and grants, procurement management and administrative matters for the Mathematics department and supported interdisciplinary research centers.
Responsibilities
- Maintains and reconciles monthly, quarterly, and annual financial transaction detail ledgers.
- Administers and coordinates all fiscal activities of departmental budgets, including financial activity, trend analysis, budget projection reports, contract and grant management, procurement, fiscal integrity, and control.
- Reviews departmental accounting and budgetary process and recommends process and policy implementation.
- Supervises professional staff in the areas of procurement, finance and contract and grant management.
- Prepares complex budget reports and analyses for the FOM, FAO and/or departmental chair and/or Center Director(s).
- Ensures compliance with internal audit requirements, University policies and Federal regulations for all financial activities.
- Reviews and reconciles monthly general ledgers and payroll expenditure reports by established deadlines.
- Corrects and redistributes departmental expenses as appropriate.
- Provides direction to staff according to established policies related to areas of contracts and grants, procurement, travel, entertainment and other administrative areas.
- Provides monthly and ad hoc financial reports and analyses to Principal Investigators (PIs), Department Chair, Program Directors, FOM and FAO as needed.
- Manages pre-award and post-award management of diversified grants and contracts.
Requirements
Required Experience Requirements:
- 6 - 10 years of related experience.
- Previous supervisory/managerial experience.
Qualifications
- Advanced knowledge of financial transactions and financial systems, as well as related policy, accounting and regulatory compliance requirements.
- Proficiency in use of spreadsheet and database software.
- Strong interpersonal skills, service orientation, ability to multi-task effectively in a varied, high volume environment, judgment and decision-making, reasoning, ability to develop original ideas to solve problems, and effective verbal and written communication skills.
- Knowledge of human resources policies and procedures.
- Ability to manage changing priorities, and manage staff time and efforts accordingly.
- Thorough knowledge and understanding of internal control practices and their impact on protecting University resources.
- Demonstrated accuracy and attention to detail with the ability to work under pressure, work on multiple projects while successfully managing high workload and ensuring continuity of operations.
- Expert level proficiency in MS Excel, Word, Publisher, Adobe and Google products.
- Demonstrated experience with pre- and post-award grant management while working with state and federal funds.
Preferred Qualifications:
- Demonstrated experience with Oracle based financial systems and knowledge of UC policy and procedures.
