About the role
The Financial/DTS Administrative Assistant will provide support in the Financial Department, assisting with a variety of management support and administrative duties. This includes compiling and typing reports, monitoring funding streams, and supporting travel coordination.
Responsibilities
- Assist with a variety of management support and administrative and clerical duties in the Financial Department.
- Aid in compiling and typing statistical and budget related reports, maintaining related databases, and entering new data to develop tables or charts in Excel for the Operations Department.
- Apply knowledge of financial principles and assist with monitoring, analyzing, and reconciling multiple funding streams.
- Review invoices in Wide Area Workflow (WAWF) and prepare funding documents and post receipts within the ERP financial system.
- Prepare and monitor funding documents from initiation to closure, including MIPRS, LOAs, RQMTs, and other obligatory documents.
- Support the preparation and submission of Task Order Information System (TOIS) as the requirement owner (RO).
- Support course costing reviews and provide costing data to leadership.
- Provide support for all CONUS and OCONUS travel, including coordinating with government representatives for visa, passport, and training requirements.
- Administer, monitor, and implement travel policies and guidelines, ensuring compliance with JTR, NSW, and command policies.
- Extract data for periodic travel reports and assist in developing and maintaining an Excel spreadsheet for tracking TAD travel expenses.
- Submit daily department accountability reports and assist with DTS sustainment training.
- Maintain an up-to-date list of cardholders and randomly review their accounts to prevent fraudulent transactions.
- Assist passport and VISA applications as necessary.
Requirements
- Must have a bachelor’s degree from an accredited U.S. college or at least two (2) years’ familiarization with governmental financial processes.
- Familiarity with Enterprise Resource Planning (ERP) System, Wide Area Workflow (WAWF), and DISA-supported systems.
- Two (2) years’ experience with Task Order Information System (TOIS).
- Five (5) years’ travel coordinator experience at Upper-Level Staff Commands.
- Two (2) years’ collective experience as Defense Travel System (DTS) administrator and user.
- Two (2) years’ experience interpreting and applying the Joint Travel Regulations (JTR).
- Five (5) years’ experience in general office and administrative skills, including proficiency in Microsoft Office suite and operating office machines.
- Ability to write correspondence in professional format, when necessary.
Qualifications
