Essential Responsibilities
- Discuss financial options with patients, including orthodontic treatment costs, payment plans, insurance coverage, and financing solutions.
- Verify dental insurance benefits; accurately submit insurance claims; track claim status; and follow up on outstanding or denied claims.
- Manage patient billing processes, including applying payments, monitoring account balances, and resolving billing concerns or outstanding balances.
- Provide clear, compassionate financial guidance to patients and families, helping them understand treatment costs and financial responsibilities.
- Maintain accurate and up-to-date financial records, agreements, and insurance documentation within the practice management software.
- Auxiliary with scheduling financial consultations and preparing detailed treatment cost breakdowns for upcoming appointments.
- Communicate and collaborate with clinical and front office teams to support seamless patient experiences and financial coordination.
- Support front desk operations as needed, including answering phones, assisting with check-in/check-out, and sending appointment reminders.
- Identify and assist in implementing improvements to financial workflows, billing systems, and patient communication processes.
- Participate in staff meetings, training sessions, and continuing education to remain current on billing regulations and insurance trends.
Requirements
- Previous experience in dental or healthcare financial coordination, billing, or insurance (2+ years preferred).
- Strong knowledge of dental insurance policies, ADA codes, and claims submission processes.
- Proficiency with dental practice management software (e.g., Dentrix, Eaglesoft, Open Dental).
- Excellent communication skills with the ability to explain financial concepts clearly and empathetically.
- Strong attention to detail and organizational skills, with the ability to manage multiple tasks simultaneously.
- Ability to work independently and collaboratively in a fast-paced environment.
- Understanding HIPAA regulations, ethical billing practices, and patient confidentiality standards.
