Finance and Operations Administrator
The Clayman Institute for Gender Research creates knowledge and seeks to implement change that promotes gender equality. Since its founding in 1974, the Institute has offered many programs to further gender equality, setting a broad research agenda, translating gender research, convening interdisciplinary networks of scholars, and educating students.
About the role
This is a hybrid position based on the Stanford campus, with a minimum of 3 days per week on site. The Finance and Operations Administrator will oversee the institute’s operations and finances, including financial transaction processing, budget management, grant and gift processing, building and property management, and general office support.
Responsibilities
- Act on behalf of the supervisor, department manager, or chair in establishing priorities and resolving administrative problems.
- Oversee and/or perform duties associated with scheduling, organizing, and operating complex conferences, seminars, and events, including arranging vendor services, producing/distributing materials, administering logistics, and managing event budgets.
- Compose and draft documents and correspondence for presentations, course handouts, grants, conferences, seminars, and reports, including substantial editing and fact-checking.
- Create, maintain, modify, and ensure accuracy of content in unit documents, displays, reports, brochures, social media, and/or websites.
- Plan and schedule calendars with limited consultation, resolve conflicts, and arrange travel in compliance with unit, university, and sponsor policies.
- Create complex reports and spreadsheets using specialized software and systems.
- Oversee and/or process a variety of complex financial transactions; produce, monitor, and reconcile budget statements; research, identify, and resolve discrepancies. May assist with capital or special equipment requests and/or vendor selection.
- Coordinate and monitor routine maintenance services completion. Plan and coordinate office moves and/or minor renovation projects.
- May lead staff or supervise day-to-day work of student and/or temporary workers, including scheduling, assigning, and prioritizing workloads, setting deadlines, reviewing work for quality and timeliness, and providing performance review input.
Requirements
- High school diploma and four years of administrative experience, or combination of education and relevant experience.
- Advanced computer skills and demonstrated experience with office software and email applications.

Pay
The budgeted base salary range for this position is $42.00 to $45.50 per hour.
