Since its founding in 1977, Monmouth Conservation Foundation (MCF) has been the county’s only county-wide land trust, dedicated to preserving open space and farmland, creating parks and protecting land, water and air, as well as wildlife and their natural habitats. To expand the resources in support of our important mission, MCF seeks a dynamic, mission-driven Finance & Administration Director (FAD). The successful candidate leads financial stewardship, audit readiness, accreditation compliance and related organizational controls as well as office administrative tasks. Reporting to the Executive Director and working closely with the Board of Trustees, committees, staff and volunteers, the FAD manages core financial operations, maintains strong internal controls, and delivers timely, decision-ready reporting to leadership. The FAD is a primary resource for compliance activities tied to audit, Land Trust Alliance Accreditation standards, grant requirements and internal administration. Major Responsibilities Financial Management and Stewardship Manage day-to-day financial transactions and bookkeeping activities.Maintain the chart of accounts and accounting structure aligned to organizational needs.Prepare billing packages for Executive Director review and approval.Manage accounts payable, expense processing, and payment workflows in QuickBooks.Coordinate bank deposits and maintain banking records supporting reconciliation/audit trails.Support land acquisition and other complex transactions through accurate tracking, documentation, and coordination with internal stakeholders.Manage designated accounts and restricted funds tracking, including the Scudder account noted in annual work planning.Liaise with outside accounting firm.Prepare Monthly Financial Reports covering high level revenue, expenses, cash flow and other information as requested by the Executive Director. Payroll Administration & Human Resources Onboarding Coordinate biweekly payroll processing and related timekeeping workflows.Maintain payroll documentation and records aligned to internal controls and retention requirements.Procure technology needed for new employees.Process onboarding paperwork, including I-9 and payroll.Manage software subscriptions. Audit Leadership and Financial Integrity Lead annual audit coordination, including auditor communications, schedules, PBC preparation, and document delivery.Maintain year-round audit readiness through disciplined recordkeeping, reconciliations, and control documentation.Coordinate with external accounting support vendors for quarterly and year-end reporting packages.Maintain a complete and organized financial records system supporting traceability and rapid retrieval. Accreditation and Organizational Compliance Lead finance and operations inputs to Land Trust Alliance Accreditation and renewal activities.Maintain, update, and align internal policies and supporting documentation to accreditation standards and related compliance expectations.Track compliance deliverables, deadlines, and evidence files supporting accreditation and audit. Grant Compliance and Cash Flow Management Support federal and other grant compliance through documentation, tracking, and reporting support.Maintain financial records supporting grant reporting, allowability, and audit evidence needs.Provide cash flow reporting and analysis for leadership planning and operational decision-making for cash flow management and operations. Governance, Board Support, and Policy Administration Maintain Board records and official documentation in alignment with governance expectations and retention requirements.Support Board committees, including preparation and distribution of review packets.Lead operational support for policy maintenance and updates, including work linked to bylaws and governance committee activities. Insurance and Risk Documentation Maintain insurance policy records and renewal tracking.Coordinate insurance documentation needs for organizational operations and events.Maintain related records supporting claims readiness and Board reporting needs.Maintain required nonprofit registrations and related compliance records. Systems, Data Integrity, and Operational Infrastructure Maintain financial and donor data integrity across QuickBooks and donor systems (DonorPerfect).Lead finance-related systems improvements and vendor coordination tied to accounting systems and data workflows.Maintain document retention practices, including physical and digital storage and destruction.Support secure file management practices, including cloud storage workflows tied to operational and compliance needs. Fundraising and Donor Reporting and Event Finance Support Work with the Development & Communications Director to maintain donation records and reporting workflows through DonorPerfect and accounting systems.Provide reporting support for fundraising activity tracking and reconciliation.Coordinate with fundraising and events staff on financial tracking tied to events and donor activity.Support event reservation workflows in partnership with events staff.Deliver post-event financial summaries and reconciliation support aligned to internal reporting. Internal Service and Cross-Functional Support Provide operational and financial support to staff across departments, including reporting support and transaction documentation needs.Maintain office and administrative support functions tied to finance operations, including coordination of supplies and records management. Essential Qualifications And Personal Attributes Demonstrated experience in nonprofit financial operations, audit coordination, and compliance documentation. Proven ability to maintain organized, auditable records and support external vendor/auditor requests.Strong experience with QuickBooks, donor management systems (DonorPerfect), Microsoft 365 Suite.High attention to detail, strong judgment, and consistent follow-through under deadline pressure.Willingness to work occasional evenings and weekends and travel locally.Team player with an understanding of and enthusiasm for MCF’s mission. Salary range is $90,000 to $120,000 and commensurate with experience.
