Field Travel Coordinator
About the role
The Field Travel Coordinator owns end-to-end travel logistics for our field deployment teams. You will book flights, hotels, and ground transportation for technicians and project teams across our project markets using TravelPerk. Your primary measure of success will be saving the company money without sacrificing the traveler experience or project timelines. This is a high-volume, fast-moving role where projects spin up quickly, schedules shift, and teams must be on site on time. You will ensure this happens while driving down our cost per trip.

Responsibilities
- Book and manage all travel for field teams, including flights, hotels, rental cars, and ground transportation, primarily through the TravelPerk platform
- Drive measurable cost savings through smart booking practices, fare monitoring, advance purchasing, and policy enforcement
- Establish and manage relationships with large hotel chains (Marriott, Hilton, IHG, Hyatt, Wyndham, Choice) to negotiate corporate rates and secure corporate discount codes
- Identify and negotiate rates with local and extended-stay hotels in the specific markets where our deployment projects are located, particularly near data center hubs
- Build and maintain a preferred property database by market, including negotiated rates, points of contact, and booking codes
- Coordinate travel changes, cancellations, and rebookings in real time as project schedules shift
- Track travel spend, report on savings, and identify trends and opportunities for further cost reduction
- Maintain traveler profiles, project assignments, and travel records in Salesforce
- Partner with Field Services and Project Management leadership to forecast travel needs based on the project pipeline
- Support travel policy development and ensure bookings comply with company guidelines
- Handle traveler support issues, including delays, cancellations, and emergency rebooking
Requirements
- Bachelor’s Degree in Hospitality or related field (required)
- 2+ years of experience in travel coordination, corporate travel management, logistics, or a related role
- Hands-on experience with TravelPerk or a comparable corporate travel management platform (strongly preferred)
- Proven negotiation skills and experience securing corporate rates with hotels or airlines
- Proficiency with Salesforce, Google Workspace, and Microsoft Office
- Comfortable working on Apple products
- Exceptional organizational skills and attention to detail under high booking volume
- Strong sense of urgency and the ability to problem-solve in real time when travel plans change
- Excellent written and verbal communication skills
- Availability to respond to occasional urgent travel issues outside standard business hours
