Field Trip Coordinator

Position Summary

The Field Trip Coordinator is responsible for planning, scheduling, and coordinating transportation for school field trips, athletic events, charters, and extracurricular activities. This position serves as the liaison between schools, drivers, dispatch, and operations to ensure all trips are scheduled accurately and completed safely and efficiently.

Responsibilities

• Cook up daily field trips, athletic trips, and charter transportation requests.
• Chat with schools and clients about trip details, schedules, and transportation needs.
• Assign drivers and vehicles based on availability, qualifications, and route requirements.
• Get ready trip schedules, manifests, and driver instructions.
• Make sure everything follows DOT, state, and company transportation rules.
• Keep an eye on trip coverage and fix any scheduling issues or last-minute changes.
• Keep accurate records of trips, billing info, mileage, and driver assignments.
• Work closely with dispatchers, drivers, and maintenance staff to make sure vehicles are available and ready.
• Answer customers politely and help out when they have questions or problems.
• Help out with emergency coverage and operational support when needed.
• Double-check that all necessary permits, documents, and approvals are done before trips.
• Support payroll and invoicing functions related to charter and field trip operations.

Qualifications

• A high school diploma or GED is nice to have.
• Experience in transportation, dispatching, logistics, or school bus operations is helpful.
• Good at organizing and handling multiple tasks at once.
• Great at talking to people and helping them feel good.
• Knows how to use Microsoft Office and transportation scheduling software.
• Can work quickly in a busy place and handle different things at once.
• Knows about school transportation rules and safety stuff is a plus.

Pay

Compensation is between $38,480 based on qualifications and experience.
