About the Role

The Site Coordinator performs accounting and administrative tasks for multiple projects, including field purchasing, vendor setup, electronic timekeeping, overseeing the site hire-in process, completing hiring and termination forms, weekly cost summaries, internal and customer reporting, weekly progress reports, and assisting with proposal development and estimates. This role requires frequent travel and extended periods (up to several months) at construction project sites, primarily at power plants and other locations across the continental U.S. The candidate must be able to adapt to fluctuating work schedules.

Responsibilities

  • Sets up and manages site purchasing for job items, including rental tools and equipment.
  • Maintains organized purchase order logs and rental equipment logs for each project.
  • Stores project documents in SharePoint for all commercial items.
  • Reviews vendor invoices for accuracy before processing.
  • Enters employee time into the timekeeping system daily and reconciles as needed.
  • Completes internal project tracking and external customer reporting.
  • Coordinates the hire-in process and prepares all necessary documentation, including company-specific, federal, state, and municipal forms.
  • Maintains confidential employee files during the project and submits them to HR upon completion.
  • Provides employees with payroll change forms and submits completed paperwork to the payroll department.
  • Maintains communication between the site team and corporate office throughout the project.
  • Provides administrative support to local office and shop personnel, including expense reports and other tasks.
  • Works with vendors and the accounting team to collect final invoices and close out projects by truing up purchase orders.

Requirements

  • Strong decision-making and problem-solving skills.
  • Ability to multitask, highly organized, with excellent time management.
  • Proficiency in Microsoft Office Suite (Outlook, Excel, Word).
  • Computer literacy and effective written and oral communication skills.
  • Willingness to travel to support project administration activities.
  • Successful completion of comprehensive background and credit checks, as well as other pre-employment screenings, is required.

Qualifications

  • 2 years of experience in construction administration or support.

Pay

$26.00 - $32.00 per hour based on experience.
