Performs accounting and administrative tasks for multiple projects including field purchasing, vendor set-up, electronic timekeeping, overseeing the site hire-in process, completing hiring and termination forms, weekly cost summaries, internal and customer reporting, weekly progress reports, assisting with proposal development, and proposal estimates. This role requires frequent travel and long-term assignments (up to several months) at power-plant and other construction sites across the continental U.S. Work schedules may fluctuate.

Responsibilities

  • Sets up and manages site purchasing for job items including rental tools and equipment.
  • Maintains organized purchase-order and rental-equipment logs for each project.
  • Stores project documents in SharePoint for all commercial items.
  • Reviews vendor invoices for accuracy before processing instructions.
  • Enters employee time into the timekeeping system daily and reconciles as needed.
  • Completes internal project tracking and external customer reporting.
  • Coordinates the hire-in process and prepares all required paperwork (company, federal, state, municipal).
  • Maintains confidential employee files during the project and submits them to HR upon completion.
  • Provides employees with payroll-change forms and submits completed paperwork to payroll.
  • Maintains communication with site team and corporate office throughout the project.
  • Provides administrative support to local office and shop personnel (expense reports, office tasks).
  • Works with vendors and accounting to collect final invoices and close out purchase orders.

Requirements

  • Strong decision-making and problem-solving skills.
  • Capable of multi-tasking, highly organized, with excellent time-management skills.
  • Proficiency in Microsoft Office Suite (Outlook, Excel, Word).
  • Computer literacy and effective written/oral communication.
  • Willingness to travel to support project administration.
  • Successful completion of background and credit checks, plus any required pre-employment screenings.

Qualifications

  • 2 years in construction administration or support role.
  • Experience with Word, Excel, Outlook, InEight, and PowerBI.

Pay

$26.00 - $32.00 per hour based on experience.
