Responsibilities

  • Aid Project Managers with preconstruction requirements and permit processes.
  • Prepare permit pull packages and coordinate client permit submissions.
  • Request job numbers and set up projects in accounting and client platforms.
  • Prequalify subcontractors for compliance with company policies.
  • Prepare and track insurance requirements (Builders Risk, Payment & Performance bonds).
  • Maintain project tracking logs (timeline, submittals, RFIs, observations, change orders).
  • Set up and manage reports in AutoDesk and client portals.
  • Input initial schedules in Wrike and update as directed by PM and Field Leadership.
  • Track and reconcile materials, including scheduling job start-up and in-progress needs.
  • Communicate continuously with Project Managers, Superintendents, clients, vendors, and subcontractors.
  • Prepare meeting minutes for weekly project meetings and kick-off sessions.
  • Maintain electronic and physical project files throughout the project lifecycle.
  • Load and maintain all project drawings and specifications in AutoDesk and client portals.
  • Submit RFIs and ensure proper documentation of all related materials.
  • Process submittals to meet schedule deadlines.
  • Manage change order documentation, including compiling workbooks and tracking subcontractor logs.
  • Reconcile accounting software with client cost tracking for change orders and reimbursements.
  • Assist PM and accounting teams with releases and financial documentation.
  • Collect and archive all closeout documents, ensuring compliance with client requirements.
  • Maintain closeout logs and participate in weekly closeout meetings.
  • Upload closeout packages to client software and ensure timely completion.
  • Provide support to upper management and Project Managers as needed.
  • Perform additional project-related tasks as assigned.

Qualifications

  • At least 3 years of recent/relevant experience in commercial retail construction.
  • Ability to read blueprints.
  • Ability to travel and be on location at jobsites.
  • Proficiency in Bluebeam, Adobe, Microsoft Office, and project management platforms (AutoDesk, Wrike).
  • Strong organizational and communication skills.
  • Ability to manage multiple tasks and deadlines in a fast-paced environment.
  • Knowledge of construction processes, documentation standards, and client coordination.
  • Detail-oriented with strong problem-solving skills.
  • Customer service-focused approach to client and team interactions.
  • Ability to work collaboratively across departments and with external stakeholders.
