Responsibilities
- Aid Project Managers with preconstruction requirements and permit processes.
- Prepare permit pull packages and coordinate client permit submissions.
- Request job numbers and set up projects in accounting and client platforms.
- Prequalify subcontractors for compliance with company policies.
- Prepare and track insurance requirements (Builders Risk, Payment & Performance bonds).
- Maintain project tracking logs (timeline, submittals, RFIs, observations, change orders).
- Set up and manage reports in AutoDesk and client portals.
- Input initial schedules in Wrike and update as directed by PM and Field Leadership.
- Track and reconcile materials, including scheduling job start-up and in-progress needs.
- Communicate continuously with Project Managers, Superintendents, clients, vendors, and subcontractors.
- Prepare meeting minutes for weekly project meetings and kick-off sessions.
- Maintain electronic and physical project files throughout the project lifecycle.
- Load and maintain all project drawings and specifications in AutoDesk and client portals.
- Submit RFIs and ensure proper documentation of all related materials.
- Process submittals to meet schedule deadlines.
- Manage change order documentation, including compiling workbooks and tracking subcontractor logs.
- Reconcile accounting software with client cost tracking for change orders and reimbursements.
- Assist PM and accounting teams with releases and financial documentation.
- Collect and archive all closeout documents, ensuring compliance with client requirements.
- Maintain closeout logs and participate in weekly closeout meetings.
- Upload closeout packages to client software and ensure timely completion.
- Provide support to upper management and Project Managers as needed.
- Perform additional project-related tasks as assigned.
Qualifications
- At least 3 years of recent/relevant experience in commercial retail construction.
- Ability to read blueprints.
- Ability to travel and be on location at jobsites.
- Proficiency in Bluebeam, Adobe, Microsoft Office, and project management platforms (AutoDesk, Wrike).
- Strong organizational and communication skills.
- Ability to manage multiple tasks and deadlines in a fast-paced environment.
- Knowledge of construction processes, documentation standards, and client coordination.
- Detail-oriented with strong problem-solving skills.
- Customer service-focused approach to client and team interactions.
- Ability to work collaboratively across departments and with external stakeholders.
