About the Role

The Field Operations Coordinator will assist with all related Manpower and Document control related to field projects and operations.

Responsibilities

  • Manage temporary employees: adding temporary employees to Exaktime, receiving/verifying weekly timesheets, creating temporary employee weekly invoices, updating pay rates, and verifying holiday/vacation pay.
  • Investigate and report on any payroll discrepancies.
  • Update weekly manual loading spreadsheets; email to managers as requested through the Rivet Software for all departments (Construction, SPG, and Design Build).
  • Enter approved Paid Time Off requests in Exaktime for temporary employees.
  • Update managers of new hires/terminations for job site geographic information, utilizing Rivet software.
  • Provide weekly reports/charts from Rivet as requested.
  • Assist the General Superintendent in preparing documents for Superintendent/Foreman training and monthly meetings.
  • Keep all job documents in good order and ensure drawing sets are up to date on the server.
  • Use Bluebeam, Studio/Google Drive to set up jobs and ensure the field team has the correct and most recent/accurate drawings.
  • Assist with compiling as-built drawings at the end of each project and assist in closeouts.
  • Assist the Project Coordinator/Project Manager on each project with developing the Panel schedules and engraved equipment labels.
  • Ensure all documents are saved properly and align with the current set of project documents on the Customer shared site portals, including Drawings, ASIs, PRs, RFIs, etc.
  • Print and bind copies of all submittals for the field, if applicable.
  • Print copies of any drawings as requested for the field.
  • Assist the Director of Operations with any reports or documents requested.
  • Attend weekly L10 meetings.

Requirements

  • Must have solid communication skills both written and verbal.
  • Must have own reliable transportation.
  • Ability to be resourceful and proactive in dealing with issues that may arise.
  • Capable with business software; Intermediate level skills in MS Excel – formulas, pivot tables, computers, and office machines.
  • Willing to work in a team environment, adapt to the changing needs of the organization, and provide support as workloads fluctuate.
  • Ability to demonstrate accuracy and thoroughness.
  • Ability to monitor your own work to ensure quality.
  • Ability to effectively present information to customers, clients, and other employees.
  • High School diploma required.
  • Bilingual in Spanish would be a plus.

Physical Demands

The work is sedentary. Typically, the employee may sit comfortably to do the work. However, there may be some movement from area to area, transporting items such as a laptop computer, printers, servers, paper, books, and small parts; driving an automobile, etc.

Work Environment

While performing the primary duties of the job, the employee is regularly exposed to a general office environment. Work outside normal business hours is required from time to time.
