About the Role

This position performs administrative duties supporting field operations in Edna or Refugio, TX. Responsibilities include office administration, recordkeeping, compliance tracking, and coordination with corporate offices, field locations, producers, customers, landowners, governmental agencies, and contractors/vendors.

Responsibilities

  • Send and receive email, answer phones, copy, scan, ship, and mail documents.
  • Maintain meeting rooms, office supplies, equipment, and sign-in sheets.
  • Track business unit scorecards, DOT driver records, and EH&S documentation.
  • Process invoices, maintain project files, and input accounts into ORACLE.
  • Track vehicle inspections, insurance, and update O&M books.
  • Print forecast reports from OMS software systems.
  • Coordinate, audit, and track Alignment Sheets and DOT records.
  • Manage emergency information notifications and update Event Response Manuals.
  • Handle hazardous materials shipping and local incident tracking.
  • Use Maximo software for attaching records, printing reports, light analysis, and verifying accuracy.
  • Assist with creating and monitoring the area operating budget.
  • Support the Area Manager and personnel in area operations.
  • Requisition and track shipping/receiving of materials and supplies.
  • Track compliance (OMS, Maximo, Veriforce, inspections including mileage, fire extinguishers, etc.).
  • Develop project folders and status tracking.
  • Assist with Scope of Work Agreements and Veriforce OQ documentation.
  • Organize and maintain filing systems, and audit compliance activities.
  • Comply with all required safety and environmental training and company policies.

Requirements

  • High School Diploma (required).
  • Associate Degree (preferred).
  • Advanced computer skills with Microsoft Office (Excel, Word, PowerPoint, Outlook).
  • Advanced typing skills.
  • Excellent interpersonal, written, and verbal communication skills.
  • Economic and critical thinking skills.
  • Ability to learn computer-based systems for project preparation, requisitions, and compliance tracking.
  • Self-motivated with a strong commitment to personal and team safety.
  • Ability to prioritize and manage multiple responsibilities simultaneously.

Preferred Qualifications

  • Advanced experience with ORACLE accounting systems.
  • Understanding of DOT 192 regulations.
