About the role

Perform administrative duties in our Ringgold, LA office, supporting area operations and interacting with corporate offices, field locations, producers, customers, landowners, governmental agencies, and contractors/vendors.

Responsibilities

  • Send & receive email, answer phones, copy, scan, ship, and mail documents
  • Maintain meeting rooms, office supplies, and equipment
  • Maintain sign-in sheets and business unit scorecard tracking
  • DOT driver recordkeeping and EH&S recordkeeping
  • Invoice processing and maintaining project files
  • Payroll and input of accounts into ORACLE
  • Track vehicle inspections and insurance
  • Update O&M book and print forecast reports from OMS software systems
  • Coordinate, audit, organize, and track Alignment Sheets
  • DOT recordkeeping and emergency information notifications
  • Update Event Response Manual and handle hazardous materials shipping
  • Local incident tracking and intermediate use of Maximo software system (attaching records, printing reports, light analysis, verifying records accuracy)
  • Assist with creating and monitoring the area operating budget
  • Support the Area Manager and area personnel in operations
  • Requisition and track shipping and receiving materials and supplies
  • Compliance tracking and auditing (OMS, Maximo, Veriforce, monthly inspections including mileage, fire extinguishers, etc.)
  • Develop project folders and status tracking
  • Assist with Scope of Work Agreements and Veriforce OQ documentation for activities
  • Organize and maintain filing system; track and audit compliance activities
  • Comply with all required safety and environmental training; understand and follow company policies and procedures

Requirements

  • High School Diploma (required)
  • Associate Degree (preferred)
  • Advanced computer skills and experience with Microsoft Office products (Excel, Word, PowerPoint, Outlook)
  • Advanced typing skills
  • Excellent interpersonal skills
  • Strong written and verbal communication skills, economic and critical thinking skills
  • Ability to learn computer-based systems for project preparation, requisitions, project, and compliance tracking
  • Self-motivated with a strong commitment to personal and team safety
  • Ability to prioritize and manage multiple responsibilities simultaneously

Preferred Qualifications

  • Advanced experience with ORACLE accounting systems
  • Understanding of DOT 192 regulations
