About the role

We are seeking a highly capable, detail-oriented Family Assistant & House Manager to support a dynamic, high-functioning family based primarily in Aspen, CO, with additional time in Weston, CT and the occasional trip to other residences.

Responsibilities

  • Manage calendars, scheduling, and prioritization across all family and household contacts including doctors, teachers, healthcare providers, tutors, therapists, vendors, and school programs.
  • Care for children's activities, appointments, and school communication; proactively communicate daily and weekly schedules to family members, caregivers, and relevant stakeholders.
  • Serve as the central point of coordination for household staff (nannies, housekeepers, vendors), ensuring responsibilities are clearly defined and consistently executed.
  • Oversee household inventory across all residences, ensuring groceries, sundries, supplies, pet needs, and children’s clothing are stocked, organized, and proactively replenished.
  • Manage household ordering across multiple properties, including researching, sourcing, and purchasing items required for fully functional homes (appliances, materials, supplies, etc.).
  • Manage incoming mail and correspondence, ensuring proper routing to family office, tax, and finance contacts as needed.
  • Oversee package management, returns, and dry cleaning logistics.
  • Support birthday and holiday planning including logistics, travel coordination, decorating, and gift preparation.
  • Provide day-to-day personal support to the principal, including scheduling personal care (haircuts etc) in alignment with travel and professional commitments.
  • Oversee vendor onboarding, scheduling, and ongoing management across all properties, examples include: lawn care, snow removal, pool service, HVAC, plumbing, and general maintenance.
  • Obtain quotes, coordinate services, and manage vendor payments while ensuring quality and timeliness.
  • Track contracts, billing, and financial reconciliation related to household operations, ensuring alignment with budgets and accurate record-keeping.
  • Liaise with design teams, contractors, and architects to support ongoing property projects and ensure forward progress.
  • Maintain seasonal readiness across residences, ensuring appropriate services and maintenance are proactively scheduled.
  • Track service schedules and maintenance records for household assets, including vehicles, ensuring timely servicing and documentation.
  • Manage health insurance claims and reimbursement processes, ensuring proper submission and follow-through.
  • Oversee daily household readiness, ensuring spaces are tidy, organized, and welcoming.
  • Plan and support food preparation to maintain healthy daily routines for the children including preparing healthy, simple nightly dinners Monday through Thursday (prep, cook, and cleanup).
  • Occasional support of the children with assistance from a childcare provider as needed, particularly during travel or when parents are away.
  • Manage indoor plants and ensure regular care.
  • Manage dishwasher cycles, trash removal, and daily household resets.
  • Serve as a polished and thoughtful representative of the family in interactions with vendors, partners, and stakeholders.
  • Maintain clear communication across all household stakeholders, ensuring alignment and follow-through.
  • Track tasks, commitments, and open loops to ensure nothing falls through the cracks.
  • Organize and maintain information across systems (Google Drive, email, calendars, notes, documents).
  • Implement and refine systems that improve household efficiency and organization.
  • Identify operational gaps and proactively solve them.
  • Maintain strict confidentiality and discretion at all times.

Requirements

  • 4–7+ years in household management, family assistant, or related operational role
  • Experience supporting a high-functioning household
  • Strong organizational and multitasking abilities
  • Excellent communication skills
  • High level of discretion and professionalism
  • Comfort managing both logistical and hands-on responsibilities

Preferred

  • Experience managing multiple residences
  • Familiarity with Aspen or similar seasonal environments
  • Experience coordinating vendors and property operations
  • Background in hospitality or service-oriented roles

Compensation & Structure

Compensation: $110,000–$130,000 base + bonus + benefits
Schedule: Full-time, with flexibility based on family needs
Location: Primarily Aspen, CO with travel to other residences
