Essential Duties
- Vendor Management
- Prepare bid specifications and make recommendations for the award of contracts.
- Ensure that contractors have and maintain on file with the Association current certificates of insurance and W-9 forms.
- Directs and evaluates the work of contractors in maintaining the property including but not limited to landscape and grounds maintenance, HVAC, pool maintenance, etc.
Facilities Maintenance And Management
- Inspect facility and properties routinely, but not less than weekly.
- Maintain and repair all site improvements, buildings and facilities; including but not limited to, signage, paving, sidewalks, fences, gates, sports courts, lighting, plumbing, electrical, HVAC, fitness equipment and other community amenities and property.
- Oversee operation, repair and maintenance of access control, fire and security systems.
- Provide janitorial/support staffing for community events and facility rentals.
- Oversee the setting up of rooms based on information provided by office staff and the Lifestyle Director.
- Daily moving of tables and chairs. Occasional weekend set up, including a stage.
- Within 24 hours of a room rental, provides a written inspection report outlining any damage or extra cleaning charges.
- Maintain records of staff time and other expenses incurred for rental events.
- Establish and maintain preventative maintenance schedules.
- Maintain property in condition to pass any required inspections, i.e. pools and spas.
- Complete repair work orders in a timely manner using in-house staff or contractors, as appropriate.
- Order equipment, parts and supplies.
- Maintain adequate stock of frequently used items.
- Maintain updated facility records including warranty information, furniture, fixture and equipment lists, building/landscaping plans etc.
- Respond to after-hours emergencies.
- Operate clubhouse audio, video, lighting and IT systems.
Community Standards Compliance
- Work with the Executive Director and other association staff members in maintaining the community standards.
- Maintain awareness of the community “fit and finish” and work with management team in correction or upgrade of any conditions that are not consistent with the community standards.
- Be observant to detect maintenance needs throughout the community.
- Be conversant with association rules and regulations and safety practices in order to assist with compliance.
Community Management
- Provide statistical reports and analysis on utility usage, work orders processed and useful life estimates of association assets, etc, as required.
- Provide weekly report documenting activities, issues, problems or concerns to Executive Director.
- Aid in annual budget preparation and monitor departmental performance against adopted budget.
- Review and authorize departmental expenses.
- Attend and assist in the conduct of all staff and Association meetings.
- Lead the landscape and maintenance committee meetings.
- Attend seminars and classes as assigned.
- Maintain project lists.
- Perform other duties as assigned.
Physical Demands/Work Environment
- Work is conducted both indoors and outdoors.
- Employee must be able to work outdoors in various weather conditions, particularly high heat and to walk long distances to perform physical inspections.
- Employee must be able to repetitively lift and carry up to 75 lbs, climb ladders and perform other physical labor and withstand inclement weather conditions.
- Employee is required to see, talk and hear.
Requirements
- High School graduate.
- At least three years’ experience in facility and grounds management and maintenance.
- Computer skills with Windows based programs, particularly Microsoft Office programs.
- Able to work evenings and weekends.
- Must possess and maintain a valid driver’s license.
Preferred Qualifications
- Experience working for a community association or county club in a similar position.
- Must be able to consistently achieve high work standards.
- Flexibility and adaptability to rapid change.
- Two years of college or trade school.
- Certified Pool Operator’s Certificate.
