About the role

The Assistant Manager plays a key role in the facilities portfolio of the University of Virginia School of Medicine, overseeing renovation projects and daily facility operations across 30+ buildings.

Responsibilities

  • Interfaces with UVA Facilities Management to coordinate issue resolution while maintaining communication with affected stakeholders
  • Coordinate and support facilities, space, renovations, and operational projects of varying size and complexity throughout the School of Medicine
  • Audit and prioritize competing facilities and project needs based on safety, operational impact, research continuity, urgency, and stakeholder requirements
  • Manage and supervise Store and Warehouse Specialists, including oversight of package deliveries (often temperature-dependent) and dock operations
  • Coordinate and evaluate vendor relationships, including sourcing products and services and supporting procurement processes
  • Use Microsoft Office applications, facilities and space management systems, and other digital platforms to manage records, project and space data, and operational tracking
  • Develop procedures and workflows that improve service consistency and continuity
  • Conduct or participate in building and space assessments, occupancy verification, and validation of facilities data
  • Build collaborative relationships with faculty, staff, researchers, administrators, Facilities Management personnel, contractors, vendors, and other University partners
  • Adapt procedures, techniques, tools, materials, and equipment to meet special needs
  • Perform other duties as assigned

Requirements

  • Education: High School Diploma or GED required; Bachelor's degree preferred
  • Experience: One year required with a Bachelor's degree, or five years required without
  • Preferred Qualifications: Five years of facilities management, operations, project coordination, space management, logistics, or related experience; experience supervising, training, or directing the work of others; experience coordinating multiple concurrent facilities, renovation, move, or space-related projects; experience in academic, healthcare, laboratory, research, or similarly complex facilities environments; demonstrated ability to manage competing priorities and work effectively across organizational boundaries; experience developing procedures, workflows, tracking systems, or other process improvements; strong written and oral communication skills; excellent problem-solving and conflict resolution abilities; flexibility and adaptability across varied situations; a positive, proactive attitude

Qualifications

  • Physical Demands: Role combines sedentary and mobile work, requiring regular on-site coordination and some travel between School of Medicine buildings, project sites, laboratories, loading docks, offices, and other University facilities

Pay

$65,000 - $75,000 commensurate with education and experience

Schedule

Exempt-level, benefited position based in Charlottesville, VA, and must be performed fully on-site
