Assistant Facility Manager
About the role
The Assistant Facilities Manager supports the facilities organization at a specific location, set of buildings, or campus environment under the supervision of the Facilities Manager. Key responsibilities include ensuring day-to-day operations, responding to tenant needs, and compiling various reports.
Responsibilities
- Ensure day-to-day operations of the facility(s) or campus, including janitorial, life-safety, engineering, site services, and general maintenance.
- Supervise all maintenance programs and respond promptly to requests from building occupants.
- Compile information for documentation and reports, including Property Information Book, Site Operating Manual, Emergency Procedures Manual, IIPP Manual, Local Code Compliance Log, ADA Compliance Log, OSHA Log, Safety Meeting Log, Elevator Logs, Janitorial Log, Purchase Order Log, Vendor Certificates of Insurance, As-built Drawings, IIPP Manual, Paid Invoices File, General Files, Contract Files, Annual Property Conditions and Year-end Performance Report, and other reports as required.
- Aid in developing capital budgets and preparing financial reports.
- Monitor and ensure compliance with insurance requirements and manage claims.
- Proactively inspect the facility and report findings to the Facility Manager.
Requirements
- A minimum of 3-5 years of relevant experience, preferably in commercial or industrial real estate with facility management experience.
- Experience in maintenance, construction, engineering, and all facets of property operation and building management.
- Technical proficiency in CMMS/Work Order Management.
- Proficiency in reading and understanding construction specifications and blueprints.
- Strong literacy in Microsoft Office Suite (MS Word, Excel, PowerPoint).
- Excellent computer and systems knowledge.
- Strong discipline of financial management including financial tracking, budgeting, and forecasting.
- Knowledge of Financial Systems (Yardi a plus).
Qualifications
- A minimum of an Associate’s degree in facilities management, building, business, or other related field, with a Bachelor’s degree preferred.
- CMFM, IFMA, BOMA industry certifications recommended; other Engineering, Business or technical training or certifications a plus.
