About the role

The Facilities & Safety Specialist plays a crucial role in maintaining the operational and safety standards of the workplace. This position involves receiving work order requests, addressing facility and office needs, coordinating safety audits, managing equipment maintenance, and ensuring compliance with safety policies and procedures.

Responsibilities

  • Receives work order requests for facilities maintenance from employees.
  • Serves as the primary point of contact for laboratory/office needs and problem resolution, supporting team members, outside vendors, and property management.
  • Promptly responds to internal inquiries, requirements, and complaints, prioritizing customer service and problem resolution.
  • Supports overall Facilities & EH&S duties, including safety audits, office moves, equipment calibration, and cleaning services.
  • Aids IT with desktop configuration and support during moves and as necessary.
  • Inspects and performs preventative maintenance or as-needed repairs on facilities or systems, such as mechanical, electrical, HVAC, and safety systems.
  • Makes basic repairs and coordinates work with outside vendors or suppliers if necessary.
  • Administers a preventative maintenance list, ensuring new tasks are added and regular maintenance is completed in a timely manner.
  • Manages on-demand tasks, scheduling them for completion within an acceptable timeframe.
  • Oversees safety and security-related matters, including safety committee meetings, evacuation drills, and understanding and using security software.
  • Responds to and resolves system operational problems, investigating incidents, and enforcing safety/security policies/procedures.
  • Facilitates and participates in emergency response teams.
  • Provides cross-functional support to the office manager/administrative assistant.
  • Ensures the safety and security of all team members by providing ongoing support for emergency response policies and procedures, including ERT, trainings, and evacuation drills.
  • Manages off-site warehouse management, storage inventories, and retrieval systems for furniture, records, and other related items.
  • Assists team members with ergonomic needs, advising and procuring equipment to support assessments.
  • Maintains department spreadsheets, forms, and documents in an organized and secure manner for ease of use, accurate posting, information sharing, and statistical reporting.
  • Reports all discrepancies to the Facilities Supervisor.
  • Secures appropriate level approvals when necessary.
  • Maintains effective working relationships with coworkers, supervisors, and other company employees.
  • Demonstrates and promotes the company vision.

Qualifications

  • High School Diploma or GED.
  • 2+ years of Facilities & Safety related experience.
  • Ability to lift and move heavy objects.
  • Proficiency in Microsoft Office, including Excel, Word, and PowerPoint.
  • Good interpersonal, verbal, and written communication skills.
  • Self-motivated and able to work with minimal supervision.
