About the Role
The Facilities Services Coordinator maintains the thriving indoor and outdoor environments for the School of Medicine (SoM). This role advances SoM’s sustainability projects and serves as the liaison for contracted services with the Office of Facilities Planning and Management (OFPM) in custodial, landscaping, bio-waste, and recycling. The position ensures operational excellence through facilities stewardship, preserving the beauty of SoM's campus and coordinating needs for students, faculty, and staff.
Responsibilities
- Serves as the primary point of contact for facilities issues in assigned buildings and grounds; monitors completion of work requests and performs condition assessments on appearance.
- Oversees a network of service contracts (custodial, landscaping, recycling, and bio-waste) to address operational needs; ensures fulfillment of contracted services; develops inspection systems to track completion and report on performance with recommendations for improvements.
- Identifies, recommends, and implements service and process modifications to avoid conflicts, increase sustainability, productivity, and/or cost reduction.
- Completes project coordination by performing assigned tasks within department projects; acts as a project coordinator/liaison; oversees and executes small, local projects, including organization, scheduling, and implementation.
- Serves as bio-waste management coordinator by correcting identified safety issues; understanding, communicating, and overseeing disposal procedures in laboratory settings; participating in emergency preparedness, recovery, and business continuity coordination.
- Coordinates communications services by providing updates, alerts, and notifications to building occupants via websites and phones.
Requirements
- Associate degree and two years of related, demonstrated facilities administration experience, or a combination of education and experience.
- Minimum 2 years of relevant facilities experience in a professional environment.
- Valid California Non-commercial Driver's License.
- Ability to obtain and maintain a California Non-commercial Class Driver's license and drive day or night.
Skills
- Excellent communication and relationship-building skills; ability to manage multiple priorities with limited guidance.
- Proficient with CMMS (e.g., Oracle, Maximo), Microsoft Office, Excel, and Outlook.
- Strong organizational skills, attention to detail, and ability to prioritize multiple tasks.
- Problem-solving mindset; ability to work independently and coordinate cross-functional teams.
- Interpersonal skills and mature judgment to interact effectively with faculty, vendors, and groups.
- Ability to coordinate and manage multiple projects with competing priorities and meet deadlines.
- Working knowledge of applications such as Excel, Word, PowerPoint, and Project.
- Experience working with internal and external vendors and services contracting.
- Background knowledge of safe handling and disposal of chemicals and hazardous waste; emergency preparedness plans; and property administration (PO tracking, receiving, inventory control).
Desired Qualifications
- Facility Management Professional (FMP) certification.
- Drive to establish themselves as a leading contributor within OFPM and SoM.
- Punctual with a strong attendance history.
Physical Requirements
- Frequently: stand/walk, seated, perform desk-based computer tasks.
- Occasionally: climb (ladders, scaffolds, or other), twist/bend/stoop/squat, reach/work above shoulders, grasp lightly/fine manipulation, use a telephone, write by hand, lift/carry/push/pull objects up to 20 pounds.
- Rarely: kneel/crawl, grasp forcefully, sort/file paperwork or parts, lift/carry/push/pull objects weighing over 40 pounds.
- Ability to work at heights of 4–10 feet.
- May be exposed to noise levels above 80dB TWA.
Working Conditions
- Requires 24-hour response availability seven days per week for emergency situations.
- This is a 100% onsite role.
