Facilities Operations Coordinator
This is a Part-Time position with flexible hours up to 24 per week.
About the role
As an On-Site Coordinator, you’ll assist in the administration and coordination of all day-to-day operations of an assigned Community Association, including handling customer service and maintaining communication with the Board of Trustees and homeowners.
Responsibilities
- Provide excellent customer service and maintain open lines of communication with fellow associates, homeowners, and Board of Trustees.
- Have general knowledge and understanding of building systems and components.
- Log work requests in Connect and generate work orders for maintenance staff and/or contractors.
- Update work order log with notes and action taken by vendors. Close open work orders in the system when complete by vendor. Work orders are not considered complete unless the vendor has signed the original work order and returned it to the office.
- Update and maintain community information in Connect, including but not limited to the Community Website, Community Projects, Management Reports, and all Association documents and forms.
- Utilize Connect’s Resident Alert feature to keep homeowners apprised of Association activities and important updates, subject to Board authorization.
- Provide Manager with work order log for inclusion in Board package.
- Manage the technical aspects of online community meetings.
- Manage the rental of the Community Center Space.
- Manage the pool pass system and issue pool passes to residents.
- Perform other duties and responsibilities as reasonably directed.
Requirements
- Minimum of 3 years of business experience in an administrative capacity or related experience.
- Critical thinking, problem-solving, judgment, and decision-making abilities.
- Proficiency in computer programs like Microsoft Office, Outlook, and Windows.
- Ability to use basic functions in Adobe Acrobat, Dreamweaver, Photoshop, and InDesign.
- Excellent customer service skills.
- Ability to work with sensitive and/or confidential information.
Physical Requirements
- Capable of working extended hours, including evenings, weekends, and holidays as necessary.
- Able to see well enough to read faint or partially obscured writing or printing, with corrective lenses if needed.
- Must be able to speak English in a clear and understandable voice for various types of communications, including over the telephone.
- Position involves sitting, standing, stooping, kneeling, pushing, shoving, lifting, carrying, and moving objects that can weigh up to 25 lbs. throughout the day.
- Must be able to climb several flights of stairs if necessary.
- This position alternates between working indoors in a controlled climate and outdoors with variable climate and lighting.
- Must be able to interact with all types of individuals, be mentally alert, detail-oriented, and have good reasoning skills.
- Must be able to work in small and confined spaces for extended periods of time.
- Must have finger dexterity for typing/using a keyboard.
Pay
$20.00 - $25.00 per hour.
