About the Role

Responsible for overseeing the entire materials management department within a facility, managing the purchasing, storage, sterilization, and distribution of medical supplies and equipment, ensuring proper inventory control, staff training, and compliance with all relevant healthcare regulations. Oversee all aspects of a facility's operations, including maintenance, repairs, construction, building systems, safety compliance, budget management, and staff supervision, ensuring the smooth functioning of the building and its systems while adhering to relevant state and federal OHSA regulations and standards. Manages capital improvement projects, coordinates with external contractors, and plans long-term facility needs. Ensures the safety and security of the building.

Responsibilities

  • Direct daily facility operations, including maintenance schedules, repairs, and preventative maintenance programs.
  • Hire and manage a team of maintenance technicians, other facility personnel, and central supply, mailroom, and laundry staff. Assign tasks, schedule staff time off, handle disciplinary actions, and complete performance reviews.
  • Train new employees on standard operating procedures and safety guidelines.
  • Oversee building systems like HVAC, electrical, plumbing, and fire safety systems.
  • Monitor and address facility issues, including emergencies and repairs.
  • Negotiate contracts with vendors for maintenance services, equipment, and supplies.
  • Review and approve purchase orders for facility-related items.
  • Collaborate with architects, engineers, and contractors on capital improvement project development.
  • Ensure compliance with all local, state, and federal building codes and safety regulations.
  • Implement and maintain safety protocols and procedures.
  • Oversee inventory management, sterilization processes, and cleaning procedures, including proper handling, packaging, and monitoring of sterilization equipment.
  • Establish and enforce strict standards for cleaning and decontamination of medical instruments.
  • Train staff on proper sterilization techniques and safety protocols.
  • Implement quality control measures to monitor the cleanliness and functionality of medical supplies and equipment.
  • Identify and address potential quality issues related to supply chain management.
  • Conduct regular inspections to identify potential safety hazards.
  • Analyze spending patterns and identify opportunities to reduce costs on medical supplies.
  • Negotiate contracts with vendors to secure favorable pricing.
  • Monitor department expenses on an ongoing basis.
  • Complete and maintain policies and procedures.
  • May be exposed to and responsible for the clean-up of hazardous drugs.
  • Attend OSHA training upon initial employee orientation and complete an OSHA competency annually.
  • Other duties as assigned.

Must be available at all times, which may include mornings, evenings, weekends, or holidays.

Requirements

  • 3-5 years of management experience; construction background preferred.
  • Strong leadership and supervisory skills.
  • Excellent communication and interpersonal skills to interact with patients and staff.
  • Proficiency in computer systems for inventory management and reporting.
  • Understanding of healthcare regulations and safety standards.

Physical Requirements

  • Requires sitting, standing, bending, and reaching.
  • Must be able to lift, carry, turn right or left with at least 50 lbs.
  • Requires manual dexterity sufficient to operate equipment needed for the upkeep of the facilities.
  • Must have a good driving history with a valid New York State driver’s license.
