About This Role About the Role We're looking for a personable, polished, and detail-oriented Facilities Coordinator to be the face and heartbeat of our office. This role keeps the workplace running smoothly day-to-day - coordinating vendors, managing repairs, and making sure the space is clean, safe, and functional. Just as important: this person genuinely enjoys people, wants to know everyone in the office by name, and brings a warm, professional presence to every interaction. You'll be one of the first people employees and visitors interact with each morning, so a great attitude and strong communication skills matter as much as the operational know-how. Key Responsibilities Be an early, visible presence in the office each morning (7 AM start) - opening up the space and ensuring it's guest- and employee-ready for the dayServe as the go-to point of contact for facility-related requests and general office needsCoordinate and schedule maintenance, repairs, and inspections with vendors and building managementManage relationships with vendors and service providers (cleaning, pantry/catering, security, landscaping, etc.)Maintain inventory of office and pantry supplies; manage reorderingSupport space planning, desk assignments, and light office moves or furniture setupAssist with meeting room readiness, event setup/teardown, and day-to-day workplace logisticsTrack facilities-related invoices and contracts; assist with light budget trackingBuild genuine relationships across the office - know who's who, check in regularly, and help foster a welcoming, connected cultureRespond promptly and calmly to office issues as they arise Qualifications 1-2 years of facilities, office coordination, or workplace experience preferred; candidates with EA, admin, or executive support backgrounds are also a great fitPrior internship experience at a well-regarded company, with a demonstrated sense of professionalism and polishExcellent verbal and written communication skillsWarm, friendly, and approachable - someone who naturally builds relationships and enjoys being part of office lifeHighly organized with the ability to juggle multiple priorities and vendorsComfortable being onsite full-time and starting early (7 AM)Calm, solutions-oriented approach when issues come up OUR REWARDS We offer a robust package of employee perks and benefits, including healthcare benefits (medical, dental and vision, EAP), competitive PTO, 401k match, parental leave, and HSA contribution match. Base pay offered may vary depending on job-related knowledge, skills, experience, and office location. This position also may be eligible for a discretionary annual bonus in addition to a range of health & wellness benefits, enhancing your overall compensation package.
