Executive Team Coord I-Administration OB GYN
About the role
This position provides office support to an Executive, handling a variety of situations with tact and confidentiality. The role acts as a central point of contact and liaison for other departments and the Executive Team.
Responsibilities
- Manages Executive priorities in planning, communication, and coordination of departmental activities.
- Supports subcommittees of the Board of Directors or Florida/Delaware Board of Managers, including meeting attendance, preparing minutes, and following up on action items.
- Sets up departmental meetings, ensuring appropriate parties are included and attendees are informed of pre-meeting work requirements.
- Prepares correspondence and reports for the Executive and others, compiles pre-meeting materials, and follows up as needed.
- Represents the Executive in dealing with both internal and external contacts, answering questions or referring problems as necessary.
- Maintains records for budget and other activities, prepares expense reports, and ensures departmental associates are aware of activities, meetings, policies, and procedures.
- Coordinates travel for the Executive and others, supervises other clerical/administrative associates, and performs other functions to support the organization.
Requirements
- High School diploma required, Associate degree preferred.
- 3-5 years of job-related experience required, minimum of 3 years of administrative assistant experience.
- Experience working for senior management/executives highly preferred.
- Experience supporting faculty and academic appointment process.
