About the role

The Client Associate will act in an Executive Assistant capacity serving as the operational backbone of the team, ensuring seamless execution of administrative, client-facing, and marketing initiatives. Responsibilities

  • Coordinate and maintain the team’s master calendar, ensuring efficient time allocation for internal priorities and client meetings.
  • Anticipate scheduling conflicts and proactively resolve them.
  • Process and submit business expenses in accordance with compliance and corporate policies for five Financial Advisors. Track team budget allocations, identifying cost-saving opportunities without compromising quality.
  • Work with team management to plan, coordinate, and execute travel coordination for team members to meet with clients and attend events across the country.
  • Train and onboard interns throughout the year to support team business needs.
  • Maintain and update the team’s marketing materials to ensure accuracy and alignment with brand standards.
  • Oversee website and LinkedIn presence, post timely updates, and manage content calendars.
  • Plan, coordinate, and execute client and team events from concept to completion.
  • Send out all client gifts and maintain inventory for client gifting.
  • Work with our operations department to execute buy/sells for money market purchases, open new accounts, and support operations lead to all operational duties needed by the team.

Qualifications

This role requires a proactive and detail-oriented professional who embodies our core values—relentless optimization, growth, thoughtfulness, exceptional client experience, and entrepreneurial mindset. A bachelor’s degree is preferred, along with 2+ years of experience in a similar role.

Skills

  • Excellent organizational and time management skills.
  • Ability to anticipate and resolve scheduling conflicts.
  • Strong attention to detail and ability to manage multiple tasks simultaneously.
  • Proficiency in Microsoft Office Suite.
  • Experience with calendar management tools and expense tracking systems.
  • Excellent communication and interpersonal skills.
  • Ability to work independently and as part of a team.

Pay

The indicative gross base salary range as a full-time equivalent role: United States - Illinois - Chicago min USD 60000 - max USD 70000 /annum. The expected salary for this role will be determined by relevant factors which may include but are not limited to, role-required experience, qualifications, education, location, and skill level.
