Executive Talent Acquisition Coordinator
About the role
The Executive Talent Acquisition Coordinator plays a critical role in delivering a polished, high-touch experience for executive candidates, hiring leaders, and internal partners throughout the executive recruiting process. This role coordinates executive recruiting logistics, supports complex scheduling and logistics, and manages executive search activity.
Responsibilities
- Coordinate executive recruiting logistics, including candidate interviews, travel arrangements, debriefs, and other search-related meetings, while partnering closely with executive-level candidates, hiring leaders, and executive assistants.
- Serve as a key communication point between Executive Talent Acquisition, hiring teams, executive candidates, and internal partners to help create a seamless, professional candidate experience.
- Manage and document executive search activity, including interview schedules, offer letters, pre-employment steps, and assessment tracking.
- Identify opportunities to improve executive recruiting processes and recommend practical ways to increase efficiency, consistency, and candidate experience.
- Maintain and update recruiting status reports, and internal process tracking using tools such as SuccessFactors, Excel, and Power BI; respond to ad hoc reporting requests as needed.
- Leverage AI-enabled tools and automation to streamline routine tasks and improve process efficiency.
- Partner with vendors, procurement teams, and internal stakeholders to support invoice processing, candidate expenses, and other administrative needs for the Executive Talent Acquisition function.
Requirements
- Bachelor’s degree, or equivalent work experience.
- 3+ years of related business experience, ideally in talent acquisition, executive search coordination, HR, project coordination, or a high-touch administrative support role.
- Experience supporting complex scheduling, logistics, or coordination across multiple stakeholders and priorities.
- Strong attention to detail, sound judgment, and the ability to handle sensitive and confidential information with discretion.
- Proficiency with Excel and PowerPoint; experience with SuccessFactors or other applicant tracking systems is a plus.
- Strong written and verbal communication skills, with the ability to interact professionally with executives, candidates, and cross-functional partners.
- Project management skills, including the ability to organize work, manage competing priorities, follow through on details, and adapt when needs change.

Pay
The anticipated hourly base pay compensation range for this position is $24.91 – $37.36.
Schedule
This is an hourly position that typically does not require more than 40 hours per week. The role offers a hybrid work environment, with an expectation to be onsite 2 days per week.
