Position Summary
Coordinates the day-to-day administrative operations of the office of the Vice President. Maintains open communications and is available to component organizations and practitioner sites for consultation. Coordinates the organization’s triennial Community Health Needs Assessment, its annual Community Health Improvement Plan, and annual reporting of Community Benefits.
Core Job Functions
- Schedules: Completes assignments within designated deadlines. Schedules committee meetings on behalf of Vice President or Committee Chair. Reserves meeting rooms. Coordinates travel schedule and makes travel arrangements. Records and distributes minutes.
- Serves as initial point of contact. Assists with the planning, preparation, review and monitoring of division budgets. Assists with payroll process for Mission Division. Provides guidance and resources to those seeking assistance, when necessary.
- Maintains: Invoices and contract payments. Organizes administrative files and electronic database. Confidential processing of Bioethics consults, and Danny Brown requests, and other types of requests for assistance including record keeping per compliance regulations. Researches/obtains supporting documents/information when applicable and when appropriate attempts to resolve issues.
- Tracking: Community benefit programs are tracked monthly and reported to the BOT, administration, marketing, outside organizations and others as needed.
- Communication: Requests for assistance from community members, groups, organizations and others to Mission Services are reviewed and approved in accordance with the support of the System's mission. Outreach donations are ordered and delivered as necessary. Works with patient accounts to assist with financial assistance and bill write-offs.
