Job Summary
Bowhead Information Technologies Service is seeking an Executive Secretary to support our Space Forces - Space customer.
About the Role
Provide Executive Assistant support to S4S S0, complete admin duties to include preparing and reviewing internal/external documents and managing assigned taskings using the Task Management Tool (TMT) on the NIPRnet and SIPRnet, coordinating with action officers to ensure they are aware of assigned tasks and due dates, manage calendar and engagements for the S0 Directorate leadership, take meeting minutes and document action items, answer routine telephone calls, direct calls and take messages, and engage with internal and external personnel to the organization.
Responsibilities
- Create, draft, proofread, edit, and coordinate correspondence, visual products, and graphics to include posters, flyers, diagrams, charts, and infographics
- Maintain tracking records and filing systems, archive files
- Maintain, update and serve as focal point for database, spreadsheets, or SharePoint lists
- Auxiliary administrative duties as assigned by the Government Point of Contact in concurrence with scope of work
- Compose written communication in response to a large volume of complex internal and external customer inquiries
- Support for scheduling and coordination of activities, conference rooms, calendar management, telephone conferences and messaging, travel arrangements and vouchers and briefing and correspondence review for grammar and formatting
- Serve as member of in/out processing team
- Ensure all necessary documentation is prepared on behalf of the inbound/outbound personnel to allow proper processing
- Process official tasks initiated by external or internal agencies
- Coordinate, plan, schedule, organize, and execute meetings, events, conferences, and off-sites
- Help in ordering supplies or equipment and arranging for office equipment repairs
- Aid in the handling and processing of awards, decorations, and evaluations
Requirements
- Bachelor’s degree, experience with TMT, and 3+ years of administrative support experience for senior leadership (e.g. general/flag officer or senior executive level)
- Advanced skills in Microsoft Office (Outlook, Word, PowerPoint, Excel, SharePoint, etc.)
Qualifications
- Maintains the specific skills, knowledge, and comprehension to perform all task functions quickly and accurately without supervision or assistance.
Physical Demands
- Must be able to lift up to 25 pounds
- Must be able to stand and walk for prolonged amounts of time
- Must be able to twist, bend and squat periodically
Benefits
