About the role
We are looking for an experienced Executive Secretary to support senior diocesan leadership and help coordinate key administrative, travel, and event-related activities in Michigan.
Responsibilities
- Manage the executive calendar by scheduling appointments, prioritizing commitments, and keeping daily plans organized and up to date.
- Prepare, review, and distribute correspondence, records, and administrative documents while responding to incoming inquiries in a timely and thorough manner.
- Cook up travel arrangements, lodging, and itineraries for leadership and related diocesan activities.
- Organize visitation plans, meeting logistics, and supporting details for congregational engagements, seasonal chapel visits, and executive meetings.
- Serve as a communication link between senior leadership and internal or external stakeholders, helping information move smoothly and effectively.
- Support planning and on-site coordination for conventions, worship services, conferences, and other diocesan events, including hospitality and vendor communication.
- Arrange travel and accommodations for broader church gatherings and delegation participation as needed.
- Work collaboratively with staff members and committees on special projects and additional assignments that advance diocesan operations.
Requirements
- Absolutely required: Associate degree; a bachelor’s degree is preferred.
- At least 5 years of experience in administrative or organizational coordination within a nonprofit, faith-based, or business setting.
- Strong written and verbal communication skills with the ability to interact professionally across a wide range of audiences.
- Demonstrated proficiency with Google Workspace, Microsoft Office, database systems, and project management platforms such as Basecamp.
- Proven ability to work independently, stay organized, and manage multiple priorities with limited supervision.
- Experience partnering with staff, volunteers, and leadership teams in a collaborative environment.
- Willingness and ability to travel throughout the region as needed.
- Track record of handling confidential information with professionalism and discretion.
