The Executive Operations Manager serves as a trusted operational partner to the Chief Operating Officer, helping translate strategic priorities into organized execution across the firm. This role provides direct support to the COO while working closely with the broader management team to coordinate initiatives, drive accountability, improve organizational effectiveness, and ensure critical priorities continue moving forward. Acting as an extension of the COO, this individual brings structure, visibility, accountability, and follow‑through to the firm’s most important initiatives and serves as a key connector between leadership, departments, and strategic priorities.
Responsibilities
- Serve as a strategic operational partner to the COO, helping manage priorities, initiatives, and key deliverables.
- Coordinate follow‑up and accountability for strategic decisions, commitments, and action items.
- Assist leadership in monitoring progress against quarterly projects, annual goals, and strategic initiatives.
- Prepare briefing materials, presentations, reports, and meeting content for managing partner discussions.
- Maintain visibility into project status, milestones, deadlines, and organizational priorities.
- Support communication and coordination between the COO and department leaders.
- Help ensure leadership decisions are translated into accountable execution across the organization.
- Identify potential bottlenecks, resource constraints, or execution risks and escalate as appropriate.
- Maintain accountability tools, reporting dashboards, and priority tracking systems.
- Facilitate follow‑up with initiative owners and department leaders.
- Document and refine operating rhythms, management systems, and governance processes.
- Drive consistency and accountability across leadership and departmental planning processes.
- Coordinate cross‑functional initiatives involving operations, technology, compliance, advisor teams, client service teams, and firm leadership.
- Develop and maintain project plans, milestone schedules, stakeholder communications, and status reporting.
- Maintain project documentation, action logs, and decision records.
- Support implementation of major strategic initiatives, technology projects, process improvement efforts, and organizational change initiatives.
- Create organizational alignment around firm priorities and key projects.
- Help ensure strategic initiatives remain on schedule and aligned with desired outcomes.
- Assist with preparation for regularly scheduled Managing Partner Meetings, Management Team meetings, Partner meetings, Board meetings, and strategic planning sessions.
- Prepare executive summaries, research, analyses, and recommendations to support business decisions.
- Support the COO with administrative items as needed.
- Support executive communication efforts and organizational messaging.
- Participate in strategic discussions and assist in translating decisions into actionable plans.
- Identify opportunities to improve processes, workflows, communication, and accountability.
- Assist with process documentation, standardization, and continuous improvement initiatives.
- Support organizational efforts designed to improve efficiency, scalability, and consistency.
- Promote alignment across departmental planning and execution activities.
- Contribute to the ongoing evolution of MCF’s operating systems and business processes.
- Assist management in developing scalable processes that support long‑term growth.
Requirements
- Bachelor’s degree or equivalent combination of education and relevant professional experience.
- Five or more years of experience in business operations, project management, executive support, management consulting, financial services, or a related field.
- Experience coordinating multiple projects and priorities simultaneously.
- Proficiency with Microsoft 365, including Outlook, Teams, Word, Excel, PowerPoint, and SharePoint.
- Exceptional organizational, planning, and time‑management skills.
- Excellent written and verbal communication abilities.
- Proven ability to work independently while managing competing priorities.
- Demonstrated ability to maintain discretion and confidentiality.
