Executive Legal Assistant
Job Summary
Drafts, edits, and coordinates Board of Trustees Resolutions for the Sewer District. Reviews Board and Committee meeting transcripts and creates meeting minutes. Serves as a liaison for the Legal Department, providing support and handling information requests.

Works in a fast-paced environment supporting the Legal Department and the Sewer District. Manages confidential information and performs administrative tasks.
Responsibilities
- Drafts, edits, and coordinates Sewer District Resolutions
- Coordinates finalization and distribution of Resolutions
- Reviews Board and Committee meeting transcripts and drafts meeting minutes
- Fulfills requests for a court reporter at public meetings
- Maintains legal records and supports the department's use of the document management system
- Maintains Board appointment schedules and reminds appointing authorities
- Drafts public meeting notices and ensures timely publication
- Represents the Legal Department in communication with internal staff and external stakeholders
- Aids in developing and improving department processes and procedures
- Creates, reviews, and summarizes reports and documents
- Verifies and processes payment for department invoices, including outside counsel invoices
- Maintains electronic invoice files and prepares summaries for the Chief Legal Officer
- Processes check requests for real estate transactions and assists with property-related invoices and payments
- Enters contract information and related data into internal document management system and routes for signature
- Organizes and maintains office supplies, distributes mail, and files
- Greets visitors and directs Legal Department guests
- Arranges for the delivery of legal documents and correspondence
- Screens communications and determines priority attention
- Covers for absent legal team members as necessary
- Facilitates and coordinates special projects as assigned
Requirements
- Education: Bachelor’s degree in Legal Studies, Communications, Business Administration, or a closely related field. Equivalent combination of relevant education and experience may be substituted as outlined in the Education Equivalencies Policy.
- Experience: Five (5) years of administrative experience, including at least two (2) years in a legal environment. Experience working in or representing the public/government sector is preferred.
- Knowledge, Skills, and Abilities: Confidentiality, effective written and verbal communication, organizational skills, decision-making abilities, proficiency in Microsoft Office Suite, detail orientation, project and time management skills, ability to work independently, and ability to prioritize tasks.
- Physical and Mental Requirements: Analyze, communicate, comprehend, coordinate, make decisions, possess general intelligence, interact, interpret, possess numerical intelligence, organize, problem solve, have resilience, perform tasks, bend, reach, sit, stand, talk, type, walk, grasp, lift up to 20 lbs., accommodate vision, and withstand noise exposure.
