Responsibilities
- Manage the CEO’s calendar, ensuring alignment with strategic priorities and time allocation.
- Cook up and coordinate travel, events, offsites, and special initiatives.
- Prioritize and schedule internal and external meetings across executives, Board members, clients, and partners.
- Anticipate conflicts and shifting priorities; utilize sound judgment and discretion to adjust schedules.
- Cook up follow-ups and ensure action items from CEO meetings are documented and executed.
- Facilitate efficient communication between the CEO and senior leadership team regarding schedule changes and meeting expectations.
- Organize and manage CEO-level documents, internal operating materials, and leadership communications.
- Conduct preliminary contract reviews (summaries, redlines, risk flags) and coordinate next steps.
- Manage contacts, follow-ups, and relationship tracking across key stakeholders.
- Support Board meeting preparation, planning, and material creation across stakeholders.
- Manage sensitive matters with a high level of confidentiality and discretion.
- Represent the organization and Executives in a professional manner, through consistent follow-through and sound judgment.
- Plan and run executive and leadership meetings, including agendas, materials, notes, and follow-ups.
- Track OKRs, goals, and commitments, ensuring accountability and progress visibility.
- Partner with the Information Technology department to maintain action trackers, decision logs, and execution dashboards.
- Support development of executive-level PowerPoint presentations and pitch materials.
- Aid in client/partner meeting preparation.
Qualifications
- Proven ability to manage complex calendars and schedules.
- Strong organizational skills and attention to detail.
- Excellent interpersonal and communication skills.
- Experience with contract reviews and stakeholder management.
- Proficiency in Microsoft Office Suite, particularly Outlook and PowerPoint.
- Ability to handle confidential information with discretion.
- Experience with project management tools and dashboards.
