About the role
The Executive Assistant serves as a trusted business partner to the VP/General Manager, Commercial and one additional senior leadership team member. This highly visible role provides proactive executive support, enables leadership team effectiveness, and ensures the smooth day-to-day operation of the Fort Collins, CO office. The successful candidate is highly organized, resourceful, and capable of balancing strategic administrative support with onsite office management responsibilities. This individual must exercise sound judgment, maintain strict confidentiality, and effectively manage competing priorities in a fast-paced environment.
Responsibilities
- Executive Support
- Manage complex calendars, scheduling priorities, and meeting logistics for the VP/GM Commercial and assigned leadership team member while considering global time zones.
- Coordinate domestic and international travel arrangements, including itineraries, accommodations, transportation, and expense reporting.
- Prepare presentations, reports, meeting agendas, briefing materials, and executive communications.
- Support leadership team operating reviews, staff meetings, town halls, leadership offsites, customer meetings, and team meetings remotely and onsite (Fort Collins or Loveland, CO locations).
- Manage and coordinate all aspects of executive meetings including conference room reservations, teleconference & videoconference set-up, catering, printing and associated meeting logistics including transport and related social activities (both local onsite meetings, customer visits and offsite meetings).
- Manage sensitive and confidential information with the highest degree of professionalism and discretion.
- Support special projects, strategic initiatives, and organizational priorities as assigned.
- Office Management
- Serve as the onsite office management lead for the Fort Collins location.
- Coordinate office operations to ensure a safe, organized, and welcoming work environment for associates and visitors.
- Oversee office supply inventory, kitchen and breakroom needs, and general workplace functionality.
- Process incoming mail and packages; arrange for the shipment and delivery of domestic and international packages.
- Coordinate visitor experiences, conference room readiness, catering, and onsite meeting support.
- Support onboarding logistics for new associates, including workspace readiness and office orientation.
- Assist with associate engagement activities, site events, recognition programs, and community initiatives.
Requirements
- High school diploma required; Associate's or Bachelor's degree preferred.
- 5+ years of Executive Assistant experience supporting senior leaders.
- Experience managing multiple executive calendars and travel arrangements in a complex business environment.
- Familiarity with expense management and travel booking systems.
- Strong organizational, project management, and problem-solving skills.
- Exceptional written and verbal communication abilities.
- Advanced proficiency in Microsoft Office (Outlook, Teams, Word, Excel, PowerPoint).
- Ability to work independently with minimal supervision while managing multiple priorities.
- Demonstrated ability to handle confidential information with discretion.
Preferred Qualifications
- Experience supporting Vice President-level or General Manager-level leaders.
- Experience with office management, facilities coordination, or workplace operations.
- Experience planning corporate events, leadership meetings, and associate engagement activities.

Pay
The compensation range for this role is $70,000 - $85,000 USD per year. This job is also eligible for Bonus Pay.
