The Executive Assistant to the President & COO operates as an extension of the executive, helping drive prioritization, decision flow, and overall effectiveness. They serve as a strategic operator and force multiplier who owns, protects, and optimizes the President’s time, priorities, and output as mission-critical business assets.

Objectives

  • Executive Operations & Workflow Management

  • - Fully own and continuously optimize the President’s calendar, priorities, and daily workflow to maximize strategic focus and output

  • - Act as an extension of the President & COO in both internal and external interactions, exercising sound judgment and professionalism

  • - Prepare daily, weekly, and meeting briefings with clear insights, context, and decision points

  • - Ensure alignment, clarity, and communication across executive stakeholders

  • - Always think 1–2 steps ahead—anticipating needs, downstream impacts, and potential challenges

  • - Identify risks, gaps, and inefficiencies early and proactively surface solutions

  • - Remove friction before it impacts execution, leadership focus, or team performance

  • - Use AI tools (ChatGPT, Microsoft Copilot, Notion AI, etc.) to:

    • - Summarize reports, meetings, and data

    • - Draft communications, presentations, and strategic outlines

    • - Automate repetitive workflows

  • - Prepare executive-level materials for leadership meetings, board discussions, and key initiatives

  • - Support decision-making by ensuring the President has the right information at the right time

  • - Develop high-quality presentations, reports, and executive communications

  • - Ensure messaging is clear, aligned, and reflective of leadership priorities

  • - Draft internal and external communications on behalf of the President

  • - Coordinate and support executive meetings (leadership meetings, operating reviews, etc.)

  • - Capture key decisions, insights, and action items with clarity

  • - Ensure consistent follow-through and accountability across stakeholders

  • - Manage travel with efficiency and foresight

  • - Build itineraries aligned with business priorities

  • - Anticipate needs to minimize friction and maximize productivity

Requirements

  • 5+ years of experience supporting senior executives in high-growth environments

  • Experience in fast-paced, performance-driven organizations strongly preferred

  • Proven track record of driving efficiency, organization, and executive effectiveness

Qualifications

  • Bachelor’s degree in Business, Communications, or related field preferred

BASE COMPENSATION: $85,000 - $95,000 annually
