Executive Assistant to President & COO
About the role
The Executive Assistant supports the President & Chief Operating Officer, managing their calendar, travel arrangements, and overseeing various administrative tasks.
Responsibilities
- Owns and strategically manages the executive’s calendar, prioritizing tasks based on business objectives and aligning stakeholders.
- Supports Board of Directors engagement and governance, including coordinating meetings, preparing materials, managing logistics, and ensuring effective communication.
- Serves as a trusted partner in executive communications, collaborating with Corporate Communications to draft and refine messaging.
- Manages complex domestic and international travel plans, ensuring seamless logistics and alignment with business priorities.
- Oversees executive and departmental expense management, ensuring timely and accurate submissions and reports.
- Planners and executes leadership meetings, departmental offsites, and company-wide forums, aligning with strategic objectives.
- Supports enterprise-wide initiatives, drives consistency, and provides backup support across the organization.
- Manages special projects, tracking progress and ensuring deliverables are met with minimal oversight.
- Anticipates executive and business needs, identifying opportunities to streamline processes and improve organizational effectiveness.
Requirements
5–8+ years of experience supporting senior executives in a fast-paced, highly dynamic environment.
Demonstrated ability to operate as a strategic partner, with strong business acumen and the ability to anticipate needs and make sound, independent decisions.
Exceptional organizational and prioritization skills, with the ability to manage multiple high-impact initiatives simultaneously.
Strong executive presence and communication skills, with the ability to interact effectively and professionally with senior leaders and stakeholders.
Advanced proficiency in Microsoft Office Suite and comfort leveraging tools and systems to drive efficiency.
Ability to influence without authority and build strong cross-functional relationships.
High level of discretion, judgment, and integrity in handling sensitive and confidential information.
Prior proven ability to thrive under ambiguity, adapt quickly, and drive outcomes with limited direction.
Detail-oriented while maintaining a big-picture mindset, ensuring both accuracy and alignment to broader business priorities.
Qualifications
Advanced degree in Business Administration, Communications, or a related field is preferred.
Experience in a corporate setting, particularly in a fast-paced, dynamic environment.
Proven ability to handle sensitive and confidential information with discretion and professionalism.
Excellent interpersonal and communication skills, with the ability to collaborate effectively with diverse teams.
Strong organizational and project management skills, with the ability to prioritize and manage multiple tasks simultaneously.
Knowledge of corporate governance and board of directors processes is beneficial.
