Executive Assistant to the EVP of Alumni Relations and Board

About the role
The Association and Foundation seek a highly skilled and detail-oriented professional to serve as the Executive Assistant to the Executive Vice President (EVP) of Alumni Relations and provide support to the Association of Graduates Board of Directors.
Responsibilities
- Report to the EVP of Alumni Relations.
- Uphold and promote the ethical standards and core values of the Academy and the Association & Foundation.
- Understand the interactions between the Association & Foundation, the Academy, and other Academy-related nonprofit organizations.
- Manage a complex meeting and travel schedule for the EVP, coordinating meetings with internal and external parties; prepare presentation materials and relevant meeting information.
- Oversee and coordinate support for the Association of Graduates Board of Directors and their committees, including logistics, meeting materials, note-taking, and general queries.
- Support the Class Advisory Senate (CAS) in representing individual USAFA classes.
- Drive and project-manage strategic Division initiatives, such as operating and strategic plans, alongside the Senior Leadership Team.
- Provide broad administrative support to the EVP, including correspondence, budget reports, file maintenance, copyediting, and database entry.
- Act as curator, time-advocate, and liaison for the EVP.
- Organize the EVP’s communications, including emails and presentations.
- Arrange the EVP’s travel (flights, hotels, ground transportation, etc.).
- Maintain coordination of the Alumni Relations Team’s regular meeting schedule and communications.
- Act with a high degree of independence as a liaison with internal and external contacts; prepare materials, minutes, updates, and other support functions.
- Support the Executive Assistant to the CEO in managing and coordinating CEO and organization-wide activities in alignment with the Joint Strategic Plan.
- Prioritize conflicting needs, handle matters expeditiously, and follow through on projects under deadline pressures.
- Provide additional administrative and customer service support to the Alumni Relations team as needed.
- Stay informed about Air Force, USAFA, and departmental priorities, programs, personalities, and events.
- Perform other duties as assigned.
Requirements
- 3+ years of experience providing high-level administrative support to executive-level staff.
- Significant department or office management experience.
- Experience supporting or liaising with a Board of Directors.
- A valid driver’s license and related insurance.
- Ability to pass a DBIDS background check to maintain access to the Association and Foundation’s principal offices on the Academy.
- Individuals with military service, especially in the U.S. Air Force, will be given strong consideration.
Skills
- Experience maintaining corporate documents.
- Highly skilled in Microsoft Office suite (PowerPoint, Excel, Word, SharePoint, and Outlook).
- Highly organized with the ability to prioritize and track multiple ongoing tasks.
- Excellent verbal and written communication skills.
- Ability to maintain absolute confidentiality, perform duties with discretion, and act with integrity.
- Ability to establish and maintain effective professional relationships with all constituents.
- Ability to handle non-routine matters and special projects with minimal instruction and make sound decisions within the scope of authority.
- Meticulous attention to detail and ability to produce high-quality, error-free materials.
- Willingness to learn from others and flexibility when needed.
Pay
The salary range for this position is $66,000 - $70,000, depending on relevant experience.

Schedule
Employees are expected to work from the office Monday through Thursday and have the option to work remotely on Fridays.
