Senior Executive Assistant to the EVP of Engineering
Senior Executive Assistant
CareStream Advisory Group is seeking a Senior Executive Assistant to support HubSpot's EVP of Engineering and two additional Engineering executives. Key responsibilities include managing a complex calendar, coordinating meetings, handling sensitive information, and leading administrative projects.
- Manage a complex, high-volume calendar and global travel
- Handle all incoming and outgoing meeting requests with precision and care
- Coordinate meetings with senior internal and external stakeholders
- Provide proactive, anticipatory support
- Lead and execute high-priority administrative and operational projects
- Support preparation for executive sessions, all hands meetings, offsites, and leadership forums
- Process expense reports, manage budgets, coordinate vendor payments, and maintain strong relationships with internal and external partners
- Partner closely with a team of Executive Assistants, mentoring more junior team members, and contributing to broader EA team initiatives and backup support
Qualifications
- Proven track record of success providing administrative support in a high-performing, fast-paced, global environment
- Experience supporting senior executives, ideally within SaaS or tech environments
- Exceptional discretion, judgment, and professionalism in handling sensitive information and high-stakes interactions
- Strong stakeholder management skills, with the ability to engage confidently with executives and external partners
- Remarkable drive, bias for action, and commitment to delivering exceptional support
- Able to effectively prioritize and manage competing demands across multiple stakeholders and communication channels
- Outstanding organizational skills and attention to detail
- Exceptional written and verbal communication skills; able to interact seamlessly with employees at all levels, including senior leadership and external contacts
- Comfort operating in ambiguity and adapting quickly to shifting priorities
- Proactive mindset with the ability to work independently and anticipate needs with minimal guidance
- Flexibility to handle urgent or time-sensitive matters outside of core business hours when needed
- Availability to travel, approximately 20% of the time, to support executive onsite needs

Pay & Benefits
The cash compensation below includes base salary, on-target commission for employees in eligible roles, and annual bonus targets under HubSpot's bonus plan for eligible roles. In addition to cash compensation, some roles are eligible to participate in HubSpot's equity plan to receive restricted stock units (RSUs). Some roles may also be eligible for overtime pay. Annual Cash Compensation Range $96,000-$144,000 USD
