Executive Assistant to the Deputy Commissioner
About the role
This position’s primary responsibility is to provide operation and logistical support to the Deputy Commissioner of the Learning Services Division, within the Commissioner’s Office in the Department of Elementary and Secondary Education (DESE), and to the six independent offices and state operated programs within the Division, and its nearly 1,700 employees within.
Responsibilities
- Coordinate activities between and among Learning Services offices and programs on behalf of Deputy Commissioner.
- Provide operational and logistical support.
- Maintain calendar and other appropriate documentation.
- Monitor multiple email accounts and coordinate/facilitate responses to correspondence (email and hard copy).
- Monitor learning services communications, including website, for consistency and clarity.
- Manage Learning Services communications and information flow.
- Suggest improvements as appropriate.
- Cooky navigation/legal/EEO/scam-warning boilerplate removed.
- Coverage of recurring periodic analyses and reports.
- Make travel arrangements, including flights, as appropriate; and provide detailed travel itineraries as applicable.
- Prepare monthly expense reimbursement reports.
- Prepare, review, and edit correspondence, documents, reports and forms for signature and/or approval.
- Demonstrate regular, reliable, and engaged attendance.
Requirements
Graduation from high school (or attained high school equivalent diploma).
Possess work experience that has prepared an individual to perform the duties of executive assistant to upper management.
Five years of progressively responsible support tasks of which at least two years involve direct support to upper management within an organization.
