Executive Assistant to the Dean

About the Role
As the Executive Assistant (EA) for the Dean of the School of Journalism and Communication (SOJC), you will provide high-level administrative and operational support to ensure the efficient functioning of the SOJC Dean's Office. This role serves as the primary point of contact for faculty, staff, students, and visitors, coordinating executive-level work with meticulous organization and accuracy. You will manage a wide range of administrative activities, including calendar management, correspondence, meetings, expense reports, internal and external relations, development activities/events, and confidential executive support for the Dean.
This position reports directly to the Dean and is based in the Dean’s Office. While remote work options are available during breaks and summer, the role requires in-office presence Monday through Friday during core business hours throughout the academic year.
Responsibilities
- Orchestrate administrative activities within the SOJC, including managing the Dean’s calendar, scheduling meetings, events, travel, interviews, and necessary preparations.
- Handle correspondence, expense reports, and development activities/events.
- Serve as a vital communication link between the Dean’s Office and other units within and outside the SOJC.
- Manage sensitive and confidential issues, documentation, and conversations related to personnel actions.
- Produce professional correspondence and presentations following outlined branding standards.
- Exercise good judgment, maintain confidentiality, and demonstrate exceptional interpersonal skills in interactions with a diverse campus community.
Requirements
- Bachelor’s degree or equivalent combination of skills, experience, education, and training.
- Three years’ experience providing confidential executive support, including managing a calendar for an executive-level position.
- Three years of office and project management experience of increasing responsibility, including serving as team lead on projects.
Skills
- Ability to prioritize tasks, work independently, manage projects, and solve problems.
- Strong organizational skills for time-sensitive and complex work.
- Exceptional written and verbal communication skills, including the ability to write and speak on behalf of the SOJC Dean.
- Professionalism in interacting with all levels of the university community and external constituencies.
- Proficiency in word processing, spreadsheet, database, and desktop publishing software.
- Integrity in handling confidential information.
- Flexibility to adapt to shifting priorities and meet tight deadlines.
- Commitment to fostering a welcoming and inclusive environment for students, faculty, and staff from diverse backgrounds.
Preferred Qualifications
- Experience handling correspondence and travel for an executive or Dean in a higher education setting.
- Experience with web design applications and Concur.
Pay
$64,000 - $70,000 per year (commensurate with experience).
