About The Role

As our Executive Assistant and Office Administrator, you'll be the go-to person for keeping our COO productive and our NYC office running smoothly. You'll support the leader while owning day-to-day office operations. This is a multifaceted role perfect for someone who thrives in a startup environment, anticipates needs, and enjoys both strategic support and practical tasks. We are hiring for this role to be based out of our NYC office. This role will be in the office 5 days a week.

Responsibilities

  • Provide comprehensive administrative support to COO, including complex calendar management, scheduling meetings across time zones, and coordinating internal/external stakeholders
  • Handle travel arrangements, itineraries, expense reports, and reimbursements with accuracy and efficiency
  • Prepare materials for meetings, presentations, events, and follow up on action items
  • Serve as the primary office administrator for our New York location: manage office supplies, vendor relationships, facility maintenance, and workspace organization
  • Coordinate office events, team off-sites, lunches, and visitor logistics to foster a positive and productive environment
  • Assist with onboarding new hires in the NYC office, including setup of workstations, access credentials, and local orientation
  • Screen and prioritize communications (email, phone, Slack) on behalf of executives, responding or routing as appropriate
  • Maintain confidentiality while handling sensitive information and supporting high-stakes projects
  • Contribute to special projects and ad-hoc tasks to support company growth and operational needs

Requirements

  • 5-8 years of experience in an administrative, executive assistant, office coordinator, or similar role (experience in a startup, tech, or fast-paced environment is a plus)
  • Prior experience supporting a C Level Executive
  • Exceptional organizational skills with strong attention to detail and the ability to manage multiple priorities
  • Proactive mindset: you anticipate needs, solve problems independently, and follow through without being asked
  • Excellent written and verbal communication skills; professional and polished in all interactions
  • Tech-savvy and quick to learn new tools
  • Comfortable working in a hybrid/remote-aware company with some in-office presence required
  • Discreet, trustworthy, and able to handle confidential information
  • Bachelor's degree or equivalent practical experience preferred
  • Enthusiastic about AI and legal tech, a curiosity about our mission is a big plus!

How We Work Together

GC AI is a distributed company with team members across North America, and soon Europe. We believe that because our business is AI, human connection matters more, not less. We invest in bringing people together through our hub model: regular coworking sessions, customer dinners, team and company offsites. If you’re in a location without an office, expect up to 10% travel (and more for customer-facing roles). Team members in the San Francisco Bay Area and Provo, UT (within 50 miles of the office) work together on Tuesdays, Wednesdays, and Thursdays. As we grow, we plan to establish permanent offices in more hub cities, and we will look to our team members to help build that in-person culture. We currently hire across the United States and Canada.

Pay

Compensation Range: $130K - $150K
