About the role

The Executive Assistant will support the CEO and President of OuterSignal, a startup building the customer intelligence layer for commerce. This is a high-trust, high-impact role where the candidate will manage executive calendars, travel, and communications, support the broader executive team on scheduling, logistics, and operational coordination, plan and execute company-wide events, prepare materials for meetings, manage vendors and expenses, and serve as a reliable point of contact for internal and external stakeholders.

Responsibilities

  • Manage executive calendars, travel, and communications
  • Support the broader executive team on scheduling, logistics, and operational coordination across functions
  • Plan and execute company-wide events and off-sites
  • Prepare materials for internal and external meetings, including agendas, briefing documents, and follow-up summaries
  • Manage vendors, expenses, and administrative workflows
  • Serve as a reliable point of contact for internal and external stakeholders
  • Identify gaps in how the executive team operates and build the processes to close them

Requirements

  • 3+ years supporting a senior executive or leadership team in a fast-moving environment
  • Exceptional organizational skills and the ability to manage competing priorities without dropping anything
  • Strong written communication skills
  • High emotional intelligence and the instinct to handle sensitive situations with care and discretion
  • Proactive by nature — you solve problems before they surface and flag issues before they escalate
