Executive Assistant to the Co-Founder & Global CEO
About the role
The Executive Assistant to the Co-Founder & Global CEO will serve as a trusted partner to the CEO, ensuring the efficient management of executive priorities, strategic initiatives, communications, and day-to-day operations of the Executive Office. The role requires exceptional organizational ability, executive presence, strong written and verbal communication skills, sound judgment, and absolute discretion when handling confidential business matters.
Responsibilities
- Executive Partnership
- Serve as the primary point of coordination for the Office of the CEO.
- Manage the CEO's calendar by aligning meetings and commitments with organizational priorities.
- Anticipate scheduling conflicts and proactively recommend solutions.
- Prepare the CEO for meetings by providing agendas, background materials, briefing documents, and relevant business insights.
- Manage competing priorities while ensuring the CEO's time is allocated effectively.
- Handle confidential communications with professionalism and sound judgment.
- Strategic Coordination
- Track executive initiatives and ensure timely follow-up across departments.
- Coordinate cross-functional projects involving Operations, Finance, Technology, Sales, Marketing, Human Resources, and Legal.
- Monitor progress against executive priorities and provide regular status updates.
- Identify potential risks, bottlenecks, or delays and escalate issues appropriately.
- Assist in planning and executing strategic initiatives led by the CEO.
- Executive Communications
- Draft and edit executive correspondence, presentations, reports, speeches, meeting summaries, and other business communications.
- Review documents for accuracy, consistency, and professionalism before executive approval.
- Serve as a liaison between the CEO and internal teams, customers, partners, investors, and external stakeholders.
- Ensure communications are handled promptly and reflect the professionalism of the Executive Office.
- Meeting & Executive Operations
- Coordinate executive leadership meetings, Board meetings, strategic planning sessions, and customer briefings.
- Prepare meeting agendas and supporting materials.
- Record meeting minutes, document decisions, and maintain action trackers.
- Ensure follow-up actions are completed within agreed timelines.
- Coordinate participation of internal and external stakeholders.
- Board & Leadership Support
- Support preparation for Board of Directors meetings and executive leadership reviews.
- Assist in compiling reports, presentations, financial summaries, and supporting documentation.
- Coordinate logistics for executive meetings and strategic planning sessions.
- Maintain confidential executive records and governance documentation.
- Travel & Executive Events
- Manage domestic and international travel arrangements, including flights, accommodations, ground transportation, visas, and detailed itineraries.
- Coordinate executive participation in customer meetings, conferences, speaking engagements, and industry events.
- Prepare travel briefings and ensure all logistical arrangements are executed efficiently.
- Support executive events by coordinating schedules, materials, and stakeholder communications.
- Relationship Management
- Build productive working relationships across all levels of the organization.
- Maintain professional relationships with customers, business partners, vendors, and external stakeholders.
- Represent the Executive Office with professionalism, discretion, and courtesy.
- Support a collaborative and solutions-oriented culture across the organization.
- Executive Office Administration
- Maintain confidential files, executive documentation, contracts, and business records.
- Support executive expense reporting and administrative processes.
- Coordinate approvals, signatures, and executive documentation as required.
- Recommend improvements to executive office processes and administrative workflows.
- Key Performance Indicators (KPIs)
- Establishment of a trusted and effective partnership with the CEO.
- Improved efficiency across executive operations.
- Effective coordination and follow-through across leadership initiatives.

Requirements
- Bachelor's degree in Business Administration, Communications, Management, or a related discipline.
- Exceptional written and verbal communication skills.
- Outstanding organizational skills with exceptional attention to detail.
- Strong judgment and the ability to handle highly confidential information with discretion.
- Proven ability to prioritize competing demands while maintaining accuracy under pressure.
- Advanced proficiency in Microsoft Office 365, including Outlook, Word, Excel, PowerPoint, and Teams.
- Experience working with executive collaboration and productivity platforms is preferred.
- Ability to work independently while exercising sound business judgment.
Experience
- Minimum of 2–10 years of experience supporting C-suite executives, founders, or senior leadership within a corporate environment.
- Demonstrated experience managing complex executive calendars, travel, meetings, and strategic priorities.
- Experience coordinating executive leadership meetings, Board meetings, strategic planning sessions, and customer briefings.
- Experience drafting and editing executive correspondence, presentations, reports, speeches, and meeting summaries.
- Experience serving as a liaison between senior executives and internal and external stakeholders.
- Experience maintaining confidential executive records, documentation, contracts, and business records.
- Experience supporting executive expense reporting, approvals, signatures, and administrative processes.
- Experience coordinating domestic and international travel arrangements, including flights, accommodations, transportation, visas, and itineraries.
- Experience preparing executive presentations, reports, financial summaries, and supporting documentation.
- Experience working with project management platforms such as Monday.com, Asana, ClickUp, Jira, or similar tools.
